Ensuring Efficient Virtual Shop Scheduling

The settings listed below will affect how Urable manages your external calendar. Make sure each is properly set up for maximum efficiency.

IMPORTANT NOTE: In order to take a deposit or sell products in your Virtual Shop you need to be connected to UrPay, Stripe or Square.

Preferences > Calendar > External:

  1. Sequential booking

    1. unless you want to force your clients to only book the next open slot, make sure sequential booking is toggled off

  2. Thresholds

    1. the number of jobs your shop can handle AT ONE TIME

      1. IF YOU ARE ONLY 'IN SHOP' OR ONLY 'IN FIELD':

        1. if 'in field' select your threshold number

        2. if 'in shop' select your threshold number

        3. Note: one or the other will come up for you to set your threshold for depending on what you selected in Preferences > Virtual Shop

      2. IF YOU ARE BOTH 'IN SHOP' AND 'IN FIELD'

        1. select how many 'in shop' jobs

        2. select how many 'in field' jobs

        3. select how many overall jobs

  3. Select times for each day - make sure you've actually enabled times to be booked

  4. Buffers

    1. how far in advance would you like customers to be able to book (Note: 1 day is not 24 hours, it is simply the day before so a customer can book a job at 10:00 p.m. Monday evening for a 9:00 a.m. job Tuesday morning)

    2. set up a buffer between 'in field' jobs to account for travel time

Preferences > Calendar > Internal:

  1. Check that your Operating hours are accurate as they will set the boundaries during which your Virtual Shop jobs can be booked

  2. Select the days of the week that your shop will be open

Preferences > Virtual Shop:

  1. Make sure you "Open" your Virtual Shop at the top of this page

  2. Make sure you've selected the correct Industries, Job Types, and Vehicles that your customers can book online

  3. If you offer mobile services, make sure you have set up your radius for 'in field' jobs

  4. Toggle "on" if you want customers to automatically book themselves, otherwise the booking will come in as a request

  5. If you are collecting deposits on your Virtual Shop make sure to set the parameters for this

  6. Select your default payment processor if you are connected to more than one

Products/Services (side menu):

  1. Estimated Durations

    1. make sure they are set correctly and ONLY reflect actual working hours needed to complete the task

    2. set within each service price point (click into a service and 'edit')

2. Make sure Virtual Shop is toggled on at the service level

3. Make sure "Public" is selected at the category level

4. Make sure days are enabled at the category level

5. Make sure threshold is set correctly at the category level

HOW 'EVENTS' CAN AFFECT YOUR THRESHOLDS:

  • Several types of "Events" can affect the scheduling in your Virtual Shop by decreasing your thresholds.

    • 'Meeting' events

      • this can lower the number of employees and thus jobs/times available to be booked

      • for example: if threshold is at three and you have a team meeting (Event) set from 9:00 - 10:00 a.m. on a certain date, then no jobs will be able to be booked for that time period

    • 'Consultation' events

      • similar to 'Meeting' events, Consultations, which can occur in shop or in field, can also affect thresholds

    • 'Time Off' events

      • employees taking time off will definitely affect thresholds

    • 'Closed' events

      • a 'Closed' event will not affect thresholds but will instead not allow any bookings during the days/times included
