Difference between Proposals - Quotes - Jobs - Approvals

It's important to understand the difference between proposals, quotes, jobs and approvals as they each have a specific function and each is used at a specific time(s) in the job process.

Proposal

  • comes before the job is created

  • USE WHEN: the customer isn't sure what service they want to choose yet

  • send the customer a series of options (services/pricing) and customer chooses one

  • once they choose, the proposal is finalized

  • a finalized proposal can then be converted into a job

  • upload documents you want included on a Proposal in Preferences > Proposals (make sure to include more generic documents here like Terms & Conditions that would apply to all services/jobs)


Quote

  • quote in Urable is just an unscheduled job

  • USE WHEN: the customer knows what service they want so you would skip sending out a proposal and just create a quote

  • first status of a job is a quote

  • create a quote by going to ADD > Quote/Job

  • build out the basic details of the job (customer, vehicle, line item) but don't yet schedule it


Job

  • once you schedule a quote, it becomes a job

  • all that changes is the "Schedule" section is now filled out and you move from "Quote" to "Scheduled" at the top of the page

  • statuses of a job: 'scheduled' - 'in progress' - 'complete'

  • marking a job 'complete' triggers many things including Carfax, Sirius XM, Job Complete message, Rate & Review message, long-term reminder messages


Approval

  • USE WHEN: you want the customer to sign off on or "Approve" things such as pricing, documents (waivers, service agreements, etc.), inspection photos/videos (FYI: these documents are uploaded in Preferences > Job > Documents)

  • get the customer involved and interacting with the process

  • approving an Approval acts as a 'positive attestation' (legally binding like a signature)

  • it is a two-step process:

    • the customer "Approves" the approval

    • the customer clicks "yes" in the positive attestation box that comes up saying they agree to what is included in the approval (documents, price, etc.)

  • ****Urable now offers a signature box for the customer to sign on Approvals
