If you receive an error notification saying your QuickBooks Web Connector hasn’t connected with Kojo, please attempt the following

Refresh Web Connector

Note: The user who installed the Web Connector will need to do these steps

  1. Go to File —> Update Web Services (NOTE: some versions will be File —>App Management —> Update Web Services)

  2. Make sure “Auto Run” checkbox is checked

  3. 3Select checkbox to the left of the Kojo Web Connector

  4. Hit the “Update Selected” button

  5. Select “Hide” (DO NOT hit “Exit”)

  6. If the issue is not resolved, please reach out to support@usekojo.com

QuickBooks Desktop Web Connector Installation Guide

  1. Download the file provided by Kojo somewhere it can be accessed from the server (or the person's computer if you're not going to do it on the server)

  2. Open QuickBooks and log into the correct company using a QB Admin login

  3. Switch to Single User Mode if not already in it (File -> Switch To Single User Mode)

  4. Go to File -> App Management -> Update Web Services

  5. The Web Connector will open in a new window. Click "Add an Application" and use the file browser to select the QWC file you downloaded from my email.

  6. Click Agree/Next until you come to a screen with 4 radio buttons. The 3rd and 4th options should say "yes, only allow when the company file is open" or "yes, allow even if the company file isn't open".

  7. Choose between the 3rd and 4th option

a. Yes, only when company file is open - use this if you have QB running on the server/machine all day

b. Yes, allow even if the company file isn't open - use this if you do not have the company file open all day.

  1. if you select the 4th option, you'll be required to set a user in the dropdown underneath. The integration will use the user set here to log into the company file automatically when the Web Connector runs. It's best to use a dedicated user in the dropdown for this purpose or a QB login that the user never logs into QB. If you set a QB user who logs in frequently, they will likely run into an issue where they try to sign in only for QB to tell them that they're already logged in (due to the integration using their seat)

  2. Make sure the checkbox at the bottom remains unchecked. We DO NOT need personal data.

  3. Click Agree/Next until it kicks you back to the Web Connector, where you should now see the Kojo app. If the Web Connector app closes, do step 4 again to open it back up.

  4. Enter the password into the blank password field towards the right-hand side of the Kojo app (Kojo provides password via email)

  5. Adjust the Every-Min column value to your liking. Between 5 - 15 minutes is the norm. Don't go below 5. This value can be adjusted later if need be.

  6. Make sure the AutoRun box is checked

  7. Click the blank checkbox to the far left

  8. Click "Update Selected" (this will begin the flow of data into Kojo)

  9. Wait until the progress bar hits 100% and check the Status column for the Last Result: "Closed connection to application". This means the sync was successful. Errors will appear in red text.

  10. Assuming you received the "Closed connection to application" message, everything should be working

  11. Click the "Hide" button in the Web Connector to minimize the application. DO NOT click "Exit" or "X" as this will close the application and interrupt the connection.

  12. Turn QB back into Multi User mode if desired
