We're excited to introduce Team Roles, a new feature that enhances how workspace managers can organise and assign roles within client accounts.

With Team Roles, you can now assign designated staff members, such as bookkeepers, payroll managers, and tax accountants, to each of your clients, streamlining your practice management and ensuring that every client receives the attention they deserve.

Why Team Roles?

Team Roles is all about providing personalised service to your clients. By assigning specific team members to specific roles for each client, you can ensure expertise and continuity in the services you offer. This feature is especially useful for managing higher-value clients who require a dedicated team for their diverse needs.

Setting up Team Roles

To start using Client Roles, all you need to do is set them up in your workspace settings.

  1. Access Settings: Begin by clicking on the 'Settings' option located in your Pixie dashboard.

  2. Go to Team Roles: Inside the settings menu, find and click on 'Team Roles.' This section is where the magic happens for managing and creating roles within your team.

  3. Define Roles: Within the 'Team Roles' area, you can create roles that are relevant to your firm’s services. Think about the roles that are critical for managing your clients, such as bookkeeper, tax accountant, or payroll manager.

Assigning Roles to Clients

Once you've defined the roles, you can start assigning your team members to these roles. This setup ensures that tasks and responsibilities are clearly defined within your team.

  1. Select a Client Record: Navigate to the client list and select a client to view their record. You'll notice that roles are initially set as 'Not Set,' indicating that no specific assignments have been made yet.

  2. Assign Staff to Roles: Within the client's record, you can assign your staff to their designated roles. This customisation allows you to tailor the service each client receives based on their needs and your team’s expertise.

Using Roles in Recurring Tasks and Task Templates

As you're already aware, task templates in Pixie are a powerful way to automate your workflow. You can use Team Roles to auto-assign jobs to the person assigned to a role in a specific client.

  1. Create or Edit a Task Template: When setting up or editing task templates, you can now incorporate roles.

  2. Set the Default Assignee: In the Default assignee dropdown, choose either a specific person or a role.

Filtering Clients by Team Roles

To enhance management and oversight:

  1. Use the Client List Filter: You can filter your client list based on whether roles are set and, if so, who has been designated for each role. This feature is invaluable for quickly assessing your team's client coverage.

Other places you'll find client roles in

In addition to these main features, you'll also find client roles available when reassigning jobs, importing clients, etc.

By following these steps, you can fully leverage the Team Roles feature to optimise your firm's practice management with Pixie.
