How to Submit Rent & Royalties

Navigate and Submit Partner Reports on Vacarya and Airbnb

This SOP outlines the step-by-step process for submitting rent payments and royalty reports through Vacarya, along with uploading monthly earnings reports and Aircover resolution claims from Airbnb, VRBO, and Booking.com.

Why This Matters

Submitting accurate and timely reports ensures proper revenue sharing, maintains trust with partners, and enables transparent financial tracking. Missing or incorrect submissions may delay payouts or breach contractual obligations.

What You Need

  • Partner access to Vacarya

  • Airbnb, VRBO, and/or Booking.com host account access

  • Bank transfer capability for rent and royalties

  • All earnings and Aircover reports for the month

Steps

1. Access the Vacarya Partner Portal

  1. Go to https://www.vacarya.com/

  2. Click "Partner Portal"

  3. Click "Reporting"

  4. Carefully read the instructions provided

2. Submit Rent Payment

  1. Fill out your contact information

  2. Begin Step 2: Rent Payment

  3. Send rent amount to the bank account listed

  4. Enter the rent amount due in the reporting portal

  5. Upload a screenshot confirming the payment

  6. Select the reporting month

3. Submit Airbnb Revenue & Claims

  1. Begin Step 3: Revenue & Claim Reports

  2. Open Airbnb in a new tab

  3. Click Menu > Earnings

  4. Click View earnings

  5. Select the appropriate month

  6. Click Get PDF Report > Download

  7. Upload the PDF earnings report to Vacarya

Submit Aircover Claims:

  1. Open https://www.airbnb.com/resolutions

  2. Click “Review details” on all applicable resolution cases

  3. Screenshot each claim timeline

  4. Upload all damage-related Aircover resolutions

  5. Enter Airbnb revenue earned (before Aircover adjustments)

  6. Add up damage-related Aircover claims and subtract them from gross revenue

Note: The following do count as revenue and should NOT be subtracted:

  • Extra guest fees

  • Late checkout

  • Early check-in

  • Extra cleaning

  • Pet fees

7. Our system will automatically calculate how much royalties are owed to Vacarya

4. Submit VRBO Revenue

  1. Go to https://www.vrbo.com/en-ca/

  2. Click Reservation Manager

  3. Click Financial Reporting

  4. Select the reporting dates

  5. Click Download

  6. Upload the revenue report to Vacarya

5. Submit Booking.com Revenue

  1. Go to https://account.booking.com/sign-in

  2. Select your property

  3. Click Finance > Payout Information

  4. Screenshot the payouts for the month

🔁 Repeat for each individual property, as each one functions as a separate business

6. Submit Royalty Payment

  1. Send the royalty amount to the bank details provided

  2. Enter the total royalty amount due in Vacarya

  3. Upload a screenshot proof of royalty payment

  4. Vacarya’s system will automatically calculate totals and confirm completion
