Proper reporting is essential for calculating monthly royalties and ensuring that damage-related Aircover claims are correctly excluded from gross revenue. Following this SOP prevents under- or over-reporting, leading to smooth financial operations.
What You Need
Access to Vacarya Reporting Page
CSV file of Airbnb transactions (downloaded from your Airbnb dashboard)
Screenshots or PDFs of valid Aircover claims for damages only
Total Airbnb revenue including Aircover
Total Aircover damage amount to deduct
Steps
Navigate to https://www.vacarya.com/reporting
Follow the steps outlined on the page:
Step 1: Upload Airbnb CSV File
Upload the CSV file of your Airbnb paid transactions for the reporting month.
Step 2: Upload Damage-Only Aircover Claims
Upload only Aircover claims related to damages (e.g., broken items, repairs).
❌ Do not upload claims for:
Extra guest fees
Cleaning fees
Early check-in
Late checkout
Pet fees
These are considered revenue and should be included in your gross amount.
Step 3: Enter Total Airbnb Revenue
Input the total Airbnb revenue earned for the month, including Aircover reimbursements (regardless of type).
Step 4: Enter Total Damage-Only Aircover Amount
Input the total amount of Aircover claims specifically for damages. These will be subtracted from the total revenue.
Step 5: System Auto-Calculates Net Revenue
Vacarya’s system will automatically calculate your net revenue and the royalties owed based on the inputs.
