Daily Schedule (4pm - midnight shift)

4pm - Make sure you are logged into Wyze, Blink, and Hushed

4pm - Look out at the security cameras to watch guests check-in.

  • Use “Security Camera - What to look for” guide

5pm - Look at Guest Issues/Report Tracker to see if there is anything that needs to be attended to.

5pm (Or 1 hour after guest has checked-in) - Once a guest checks-in for 1hr please send them “After Guest Checks-in” message

  • If a guest replies with feedback please work with the guest to handle the issue.

  • If you do not know how to help the guest, use Guest Communication Whatsapp group for help

6pm - Change pricing by $1 per day for 1 of the days for every listing

  • Pick a day 3 months in advance and change the pricing of 1 of the days by $1.

  • Eg) If it is Apr, go to the month of July and pick a random date and change the price by $1.

6:30pm - Please fill out the Guest Data spreadsheet. For all current guests make sure we have their email address. We can find their phone number in the AirBNB reservation. Please make sure we record that phone number in the spreadsheet

7pm - Look at the calendar and see which guests are checking-out tomorrow.

  • Send guests a “Night before check-out” message.

    • FOR 2010 MARIA please use this check out message.

    • For Garrow Basement please use this garrow lower check-out message.

    • For 61 McDonald please use this check out message

    • For 11 Mintern Lower - please use this check out message

  • Send guest the below picture so they know how to separate Organics (food scraps), recycling, and garbage

    • “To help you properly separate out organics, recycling, and garbage please refer to the below image”

  • Use Whatsapp to let cleaners know which properties need to be cleaned the next day.

  • Use Whatsapp to let cleaners know if there are any late 11am check-outs

7:30pm - Look at the AirBNB calendar and see which guests are checking-in tomorrow. Send them the “Day before check-in” message

8pm - If there are guests who still have not checked-in, message the guest on AirBNB to ask them what time we can expect them to check in.

9pm - Update the excel Revenue Tracker

  • Each Property has a tab in the revenue tracker

  • Go through the AirBNB app and see which bookings we accepted for the day.

  • Go into the Revenue Tracker and fill out the amount they are paying per night

  • Take Host Payout Total amount and divide by the number of nights stayed. Eg from above screenshot) $1,262.75/8 = $157.75

11:50pm/midnight - Use Guest Communication Whatsapp group and communicate with VA that will start shift at 8am to let them know of anything they should be aware of

  • E.g) Guest at X property just checked in, everything looks good.

  • E.g) Guest at property X damaged the property and maintenance team is in the middle of fixing everything for next guest

  • E.g) Guest at property X has not checked in yet, please look out for them checking-in

11:50pm/midnight - fill out timesheet
