Understanding Terminal Passcodes in Adyen

Adyen uses two types of codes for terminal management: One-Time Passwords (OTPs) and Terminal Passcodes. Here’s what they are, how they differ, and where to find them.

1. One-Time Password (OTP)

What it is:

A temporary activation key used when a new or reset terminal is first onboarded.

  • Links the terminal to the merchant account

  • Expires shortly after being generated (within minutes)

When it's used:

  • During first-time setup of a terminal

  • After a factory reset

Where to Find It in the Adyen Customer Area:

  1. Log in to the Adyen Customer Area:

  2. Confirm you are under the correct merchant account — you can verify this by checking the top left corner above ValpayLLC.

  3. From the left-hand menu, select In-person payments.

  4. Click Payment devices.

  5. Locate the terminal from the list or search using the serial number.

  6. Select the terminal. This will open the terminal settings page.

  7. Under About this terminal, view the One-Time Password. Note: this value will change each time it is viewed.

  8. Use this OTP during the terminal activation/setup process.


2. Terminal Passcodes

What They Are:

Static codes that control terminal functions and security access.

Unlike OTPs, these do not expire unless manually changed.

Common Passcodes Include:

  • Transactions Passcode → Controls transaction-level access

  • Admin & Settings Passcode → Required to access advanced settings (network setup, configuration)

  • Refund Passcode → Required to process refunds

  • Screen Lock Passcode → Controls device lock security

Where to Find Them in the Adyen Customer Area:

Passcodes can be managed at either the store level or the terminal level. Choose the option that best fits your needs:

Option A – Store Level (applies the same passcode to all terminals at that store)

  1. Log in to the Adyen Customer Area.

  2. Confirm you are under the correct merchant account by checking the top left corner above ValpayLLC.

  3. From the left-hand menu, select In-person payments.

  4. Select Store.

  5. Select the store you wish to update.

  6. Once on the store settings page, go to the About this store tab.

  7. The One-Time Password will be displayed here. Note: this value will change each time it is viewed.

Option B – Terminal Level (manage passcodes for a specific terminal)

  1. Log in to the Adyen Customer Area.

  2. Navigate to In-person payments > Payment devices.

  3. Select the specific terminal (or search by serial number).

  4. Once on the terminal page, go to Terminal settings.

  5. Click the Passcodes tab.

Here you will see the passcodes for:

  • Transactions

  • Admin & Settings

  • Refunds

  • Screen Lock

You may:

  • View existing passcodes

  • Update the passcodes to something the merchant can easily remember

  • Remove passcodes if they are no longer required

  • Adjust them to align with internal security controls

⚠️ Unable to Decrypt a Passcode?

The ability to view (decrypt) passcodes is permission-based. If you are unable to decrypt a passcode, you may not have the required permissions in Adyen. Please reach out to ValPay Support or your User Manager to have the appropriate access granted.

  • Always generate and use a new OTP when activating or resetting terminals.

  • Keep passcodes secure and share only with authorized staff.

  • Review passcodes periodically to ensure they align with your internal controls and security policies.
