Accessing the Space Data Import Feature
Sign in to the platform
Go to the Buildings page
Click the Import Data button in the upper right corner
On the next screen, select the Spaces data type

Upload Process
There are two ways to prepare your spreadsheet:
Download the pre-filled template:
Includes your existing inventory and Valve IDs
Ideal for updating or reviewing existing data
Greatly reduces formatting errors and linking issues
Upload your own spreadsheet:
Ensure it follows the formatting and structure outlined in this guide
You’ll manually map fields during the process
Steps:
Choose a file option from above
Upload the file via the Upload File button
System checks the file for:
Upload success
Empty spreadsheet
Incorrect format
Size limit
Errors will be displayed clearly on-screen
If valid, click Next to move to the Properties Mapping step
Mapping Columns
Map spreadsheet columns to the correct fields in Valve for accurate import.
Mapping Table Columns:
Uploaded Column: Your spreadsheet headers + 3 sample rows
Mapped: Status of field readiness
Import As: Valve property to import into
Mandatory Fields
These must be mapped for a successful import:
Building Name
Space Name
Space Type
Availability
❗ Unmapped non-mandatory fields will be ignored during import process
Column Mapping Rules

Availability | Text or Date (MM/DD/YYYY) | Indicates current space status: Available, Under Offer, Occupied, or a valid future date. When used with Available From, Availability should contain only the status, and Available From should provide the exact future date. |
Available From | Date (MM/DD/YYYY) | Indicates the future date the space becomes available. Use this alongside Availability when the status is Occupied. |
Visibility | Text (optional) | Defaults to Public. Must be: Public, Private |
Description | Text (optional) | Accepts any value |
Placement | Text (optional) | Entire Floor, Exterior, Interior, Internal, Not specified |
Floor | Text (optional) | LG, G, or numbers 1-100 |
Space Size Unit | Text (optional) | Square foot is the default unit of measurement. Other units such as sqft, sqm, and square meter are also supported. |

Monthly Cost Currency | Text (optional) | Defaults to GBP. Accepts all currency codes |
Monthly Cost Value | Numeric/Decimal | Must be positive number |
Desks From | Numeric (optional) | Use with Desks To to define a desk range (e.g. 1–10 desks) |

Linking Existing Inventory
Link imported data to existing Valve records for accurate updates.
Buildings must already exist in Valve (not created via import)
New spaces can be created during import
Automatic suggestions help match records based on name
Unlinked buildings/spaces will be ignored in the import
Once complete, click Import Data to finish
Reviewing Your Import Results
Import Status: View a summary of updated and new entries
Download Updated File:
Includes Valve IDs for each entry
Use this file for future imports to speed up the linking process
Additional Information
Uploaded files are retained for 30 days after successful import
Files from incomplete imports are deleted after 24 hours

Q: Can I upload buildings via Data Import?
A: No, buildings must be created in the platform manually.
Q: Will duplicates be created if I re-import the same data?
A: No, duplicate detection will prevent repeated entries.
Q: Can I import into custom fields?
A: Not currently. Only standard fields are supported.
