Space Data Import - Customer Support Documentation

The Space Data Import feature allows users to upload and manage space availability, pricing, and other essential details in bulk.

🚧 Beta Notice: This feature is currently in Beta phase. That means it's still being tested and improved based on feedback from early adopters. While it’s fully functional, there may be minor bugs or changes to functionality in future updates. General Limitations

  • Available only for paying operators. For upgrades, contact: product_sales@valvespace.com

  • Accepts .xlsx and .csv files under 10MB

  • Files must have one tab and one table

  • Do not include images, external links, or merged cells

Accessing the Space Data Import Feature

  1. Sign in to the platform

  2. Go to the Buildings page

  3. Click the Import Data button in the upper right corner

  4. On the next screen, select the Spaces data type

⚠️ New features like bulk Buildings and Contact upload are coming soon!

Upload Process

  1. There are two ways to prepare your spreadsheet:

    1. Download the pre-filled template:

      • Includes your existing inventory and Valve IDs

      • Ideal for updating or reviewing existing data

      • Greatly reduces formatting errors and linking issues

    2. Upload your own spreadsheet:

      • Ensure it follows the formatting and structure outlined in this guide

      • You’ll manually map fields during the process

    Steps:

    1. Choose a file option from above

    2. Upload the file via the Upload File button

    3. System checks the file for:

      • Upload success

      • Empty spreadsheet

      • Incorrect format

      • Size limit

      • Errors will be displayed clearly on-screen

    4. If valid, click Next to move to the Properties Mapping step

Mapping Columns

Map spreadsheet columns to the correct fields in Valve for accurate import.

Mapping Table Columns:

  • Uploaded Column: Your spreadsheet headers + 3 sample rows

  • Mapped: Status of field readiness

  • Import As: Valve property to import into

Mandatory Fields

These must be mapped for a successful import:

  • Building Name

  • Space Name

  • Space Type

  • Availability

❗ Unmapped non-mandatory fields will be ignored during import process

Linking Existing Inventory

Link imported data to existing Valve records for accurate updates.

  • Buildings must already exist in Valve (not created via import)

  • New spaces can be created during import

  • Automatic suggestions help match records based on name

  • Unlinked buildings/spaces will be ignored in the import

Once complete, click Import Data to finish

Reviewing Your Import Results

  1. Import Status: View a summary of updated and new entries

  2. Download Updated File:

    • Includes Valve IDs for each entry

    • Use this file for future imports to speed up the linking process

Additional Information

  • Uploaded files are retained for 30 days after successful import

  • Files from incomplete imports are deleted after 24 hours

FAQs

Q: Can I upload buildings via Data Import?
A: No, buildings must be created in the platform manually.

Q: Will duplicates be created if I re-import the same data?
A: No, duplicate detection will prevent repeated entries.

Q: Can I import into custom fields?
A: Not currently. Only standard fields are supported.
