Collaborating on Questionnaires

Vanta Questionnaire Automation provides various tools for your cross-functional teams to collaborate on questionnaires and quickly deliver accurate answers.

Inviting your team

  • Vanta has pre-defined permissions to assign to team members to assist you in the platform.

  • The Trust Admin and Trust Collaborator roles are specifically designed for team members only working on security reviews in the Trust Center and Questionnaire Automation and do not need access to the rest of Vanta.

Assigning Questionnaires

A user can be assigned as the primary owner responsible for completing the questionnaire from start to finish.

  • Add new questionnaire by selecting +Add questionnaire.

  • From the modal, add the necessary information, including the owner

    • The user will be notified of the assignment

  • Additionally, the owner can be changed anytime by clicking the owner avatar in the questionnaire table.

Assigning Individual Questions

Individual questions can be assigned to relevant team members to answer or review.

  • Click on the desired questionnaire.

  • Locate the appropriate question and select the owner icon.

  • From here, assign or update the owner

    • Admin, Editor, Trust Collaborator, or Trust Admin can be assigned specific questions.

Review Assigned Questions

  • Open the questionnaire.

  • Filter the questions by owner.

Approval Workflow

To streamline the approval process, different team members can be assigned to own and approve the questionnaire and track its status. This approach is particularly useful for enabling customer-facing teams to take an initial pass at the questionnaire before assigning it to a subject-matter expert for review, ensuring accuracy and completeness before it is returned to the customer.

  • When ready, an approver can be assigned in the questionnaire table, and the status will be updated to “Ready for review.”

  • To assign an approver, select the icon under the approver column and assign the appropriate person.

  • Only the Admin, Editor, and Trust Admin roles can be assigned as approver.

  • When the approver has started the review, they can switch the questionnaire status to In review by clicking the three-dot menu in the top right-hand corner.

  • The approver can then review all answers and approve each as they are complete.

  • If the questionnaire needs more work, the questionnaire status can be changed back to In progress and an optional message.

  • If the questionnaire is approved, the questionnaire status can be changed to Approved.

  • For each status change, the owner and approver are notified. The user who made the status change will not ben notified.

Commenting on Individual Questions

  • Click on the desired questionnaire

  • Click the appropriate question

  • Select the comments tab

  • Leave relevant comments and optionally @mention other team members to notify them of the comment.

  • All users who have left a comment or been @mentioned on a question will receive notifications of new comments for that question.

  • Configure notifications for Slack, email, or both in your account settings to update how and how often relevant users will receive notifications.
