Creating Teams in Vanta

In Vanta, you can create teams to manage test and document ownership more efficiently. Before creating a team, ensure that the users you want to add already have an account in Vanta.

Before You Begin

  • To be a team member, users must have the Collaborator role or above. To create users in Vanta, go to the user permissions page.

  • From this page, you can upgrade existing Employee users (which solely appear on the People page) to the Collaborator role or above, or add new users.

  • Once users are added, you can proceed with creating teams.

Option 1: Create a Team from the Owner Selector

  • Find a test you want to assign to a team.

  • Click the Owner Selector

  • Select Create New

  • Fill out the team creation form.

  • Click Create to finalize the team and assign it.

This method is useful when assigning ownership quickly while managing tests.

Option 2: Create Teams from the Teams List Page

For a more structured approach, you can create teams directly from the Teams List page:

  • Navigate to Settings (gear icon in the top right) and select Teams

  • Click Create Team in the top right corner

  • Fill out the team creation form and select Create to finalize the team.

  • Repeat as needed to create additional teams

This method is best when setting up multiple teams at once.

Option 3: SCIM

If you’re in the Scale package, you can use SCIM to sync groups in your identity provider to Teams in Vanta, allowing you to automate team creation, membership, and deletion. Visit this article on how to get started setting up SCIM in Vanta.

Managing and Editing Teams

Once your teams are created, you can update them anytime:

  • Navigate to Settings (gear icon in the top right) and select Teams

  • Select the team you want to edit

  • To manage the team, select Edit Team in the top right to update the name and description.

  • To adjust the notification destination, select the Team Settings tab.

Keeping your teams updated ensures the right people have access and receive notifications where they need them.

Using Vanta teams, you can simplify test ownership, improve organization, and ensure compliance efforts run smoothly.

What are the notification options?

At least one notification destination must be enabled, but you can select multiple options. The default setting is that all team members will be cc’ed on an email thread. Additional options include:

  • Send notifications to a team email

    • Use an email alias such as eng-infra@acme.com or legal@acme.com

  • Send notifications to a Slack channel (if Slack is integrated)

  • Send notifications to a Microsoft Teams channel (if Microsoft Teams is integrated)

These options allow teams to stay informed in the best way for them.
