Companies, locations, groups & tags

How to manage companies, locations, groups, and tags in Vemcount settings — the full organisational structure guide.

Companies are the top level of your Vemcount setup. Each company contains locations, and each location contains sensors and other data sources. Groups and tags help you organise many locations. This article explains how they fit together and how to set them up.

How the structure works

  • Company: the customer or account that owns the locations, for example a retail chain, shopping centre or bank.

  • Location: a physical site or reporting unit, for example a store, branch, building or mall.

  • Entrance: a single entry or exit point within a location.

  • Zone: a defined area inside a location, for example a checkout area or food court.

  • Sensor: the device or data source that collects the visitor data.

Viewing companies

Path: Settings (cogwheel) > Companies

  • Search for companies with the search bar.

  • Filter between Active and Deleted companies.

  • See the company name, website and number of subscriptions.

  • Click a company to open its settings.

Adding a company

  1. Click + Add company in the top-right corner.

  2. Enter the company name and website URL.

  3. Set the parent company if it is a subsidiary or sub-brand.

  4. Click Save.

Inside a company

  • Locations: all sites in the company.

  • Groups: sets of locations reported as one combined total.

  • Tags: labels for filtering and comparing locations.

  • Opening Hours: default trading hours for all locations (can be overridden per location).

  • Health Checks: automatic monitoring rules, for example an alert if counts drop to zero during opening hours.

  • Activity Log: a record of all changes to the company and its locations.

  • Contacts: responsible contacts for health check follow-up and support.

  • Roles: saved permission sets for users in the company.

Locations

A location is usually a site you want to report on separately. Locations are used to connect sensors and data sources, give users access, apply opening hours, and build reports and dashboards for one site. Location IDs are also used in integrations and API requests.

To add a location:

  1. Inside the company, go to Locations > + Add location.

  2. Enter the location name and the Custom Shop ID (used for POS integrations).

  3. Set the floor area in m² (needed for the visitors per m² metric).

  4. Assign it to a Group if you use groups.

  5. Set the Active Date.

  6. Click Save.

Naming tip: use names that are easy to search, for example "101 Copenhagen Main Store", "Main Mall Food Court" or "DK Aarhus City". Include a store or branch number where you can.

Do not create extra locations if one combined reporting unit is enough. Use entrances, zones, tags or groups instead.

Groups and tags

Both let you pick many locations at once. The difference is in the result:

  • Groups return one combined total for all locations in the group. Use them for a region, country, brand or portfolio total.

  • Tags return separate results for each location with that tag. Use them to compare locations in the same category, for example country, region, store type, flagship stores or airport stores.

To create a group or tag: open the company, go to Groups or Tags, create it with a clear name, assign the locations and save. Keep tag names consistent: do not create "DK", "Denmark" and "Danish stores" for the same thing.

Choosing a source in reports and widgets

  • Location: total visitors for the whole site, across all its entrances.

  • Entrance: visitors per entrance, to compare entry points.

  • Zone: visitors in a defined internal area.

  • Groups: one combined total for several locations.

  • Tags: separate results for each tagged location.

In a report or widget, choose the source type, pick the location, group or tag, then set the metrics, period, interval and opening hours.

Setup checklist

  • The location belongs to the right company and has a clear name.

  • Time zone and opening hours are correct.

  • Sensors, entrances and zones are connected to the right location.

  • Sales data or sales terminals are connected if you use conversion.

  • The right users have access to the company or location.

  • Floor area is set to unlock visitors per m².

  • You have checked the data in a report or dashboard.

Common problems

  • A user cannot see a location: check that the user is assigned to the company or location and that their role gives access.

  • A report shows no data: check the source, that the sensor is active, and the period and opening hours.

  • The location total looks wrong: check that entrances, zones and sensors are assigned correctly and that the right sensors are marked as entrance.

  • Sales data is missing: check that the sales terminal or integration is mapped to the location.

  • An API request returns no data: check the location ID and that the user or API key has access to the location.

When to contact support

Contact support@vemcogroup.com if you cannot add or edit a company or location, a location total stays wrong after the checks above, or you need help planning the structure for a large rollout. Include the company name and the locations involved.
