How to Connect Swiftaid

Set up Swiftaid to automatically reclaim Gift Aid from eligible Ventrata donations on behalf of your charity.

Swiftaid helps charities manage the Gift Aid claims. It compiles eligible donations, submits claims directly to HMRC, and handles records-keeping and audit support — removing the need for manual administration.

Prerequisites:

  • Your charity must be registered with HMRC before using the Swiftaid service.

  • Your organisation must be registered and approved by Swiftaid (with an active charity agreement).

  • You must have the following details available:

    • Official name of charity as registered by HMRC

    • HMRC charity reference number

    • Applicable charity commission and registration number


📒 NOTE

Ventrata is only the collection source — Swiftaid handles the declaration validation and submission.


Create Swiftaid Registry

  1. In the Ventrata dashboard, go to Supplier Settings > Registries.

  2. Press the + New Registry button.

  3. Select the 'Swiftaid' option.

  4. Enter a name for the registry, such as 'Swiftaid'.

  5. Select the destination(s) the registry should pull donations data from.

    If you do not already use destinations, do not create them solely for this purpose.


  6. Enter your 'Client ID' and 'Client Secret'.

    To obtain these credentials, please contact your Customer Success Representative.


  7. Enter your 'HMRC Customer ID'.

    This is required for Swiftaid to submit Gift Aid claims on your behalf.


  8. Select the Eligible tag (or equivalent).

    Tag names are arbitrary — you can choose any naming convention. In this setup, the Eligible tag is applied to all items included in the uplift calculation.


  9. Select the applicable 'Donor Authorisation Question' and select the answer that authorises Gift Aid to reclaim the uplift.

  10. Press the Create Registry button to save your settings.

Add Ventrata as Donation Source in Swiftaid

  1. In your Swiftaid dashboard, go to Donation sources.

  2. Press the Add donation source button.

  3. Select 'Ventrata' and confirm that Swiftaid may access your donation data.

  4. Agree to authorise Swiftaid to collect Gift Aid on donations made through Ventrata.

    Once confirmed, the integration is active. Swiftaid will begin matching eligible donations and submitting Gift Aid claims to HMRC automatically.
