Understanding Bills

Learn how to access, export, and report on bills incurred for a given month.

All your bills are located under the Supplier Settings tab on the navigation bar. The Bills table displays your monthly invoices issued by Ventrata, covering your agreed pricing model, including fixed fees, transaction fees, gateway fees, and terminal usage charges.

To be able to access Bills, the 'Bills' role permission must be enabled for the user.

Supplier Settings - Bills

Press the respective row for a billed month to view a breakdown of your bill, which includes:

  • Fixed Fee - a flat rate for using Ventrata services

  • TRANSACTION FEE - calculated based on a agreed percentage

  • Other - any other fees not included above (for example, SMS carrier fees)

📒 NOTE

Each value or percentage is based on the agreed terms in your contract with Ventrata and reflected in the Supplier Settings. If you notice any discrepancies, contact your Ventrata Customer Representative in coordination with the Finance team.

📘 EXAMPLE

Consider the following billing configuration:

Fixed Fee: €2,000.00

Transaction Fee: 1%

During April 2026 your company processed transactions worth €105,000.00.

At the end of the month, the company's bill will contain:

  • Fixed Fee = €2,000.00

  • Transaction Fee = €1,050.00 (105,000.00 * 0.01)

  • Other fees = none

Total bill: €3,050.00


Access Billed Transaction

The transaction fee is calculated based on all transactions created under your Ventrata account. To access these transactions, press the TRANSACTION FEE button on the bill detail.

📒 NOTE

The TRANSACTION FEE button redirects you to the Transactions table, filtered to all billable transactions — transactions included in the total amount due.

To verify this, press the Show Columns button and add the 'Billable' column.

Billable Transactions

You can also view voided transactions by pressing the VOIDED TRANSACTION FEE button. Voided transactions include refunded or transactions that were wrongly recorded. The final transaction fee is calculated as the difference between TRANSACTION FEE - VOIDED TRANSACTION FEE.

Export Billed Transactions

  1. In the Transactions table, press the Export button in the action bar.

  2. Select your preferred format:

    • CSV

    • Excel

    • SQL

  3. Leave the 'Include Test Data' box unchecked if you do not want to include test transactions.

  4. Open the downloaded file.

Report on Billed Transactions

  1. In the Transactions table, press the Generate Report button.

  2. Select New Report.

  3. Review your input data.

    📒 NOTE
    The 'Billable' filter is automatically applied when accessing Transactions from a monthly bill.


  4. If needed, check the 'Include Test Data' box to include test transactions.

  5. Select what you want to measure:

    • Total - sum of values

    • Minimum - the lowest value

    • Maximum - the highest value

    • Average - the sum of values included in the report divided by their count

    • Count - number of records

  6. Use the 'Show' drop-down to select the metrics, and the 'By' drop-down to define how the data is grouped.

    If you use destinations, you can create reports grouped by 'Destination' and 'Currency'. Including the 'Action' parameter lets you distinguish between payments and refunds.

  7. Select whether to sort data in ascending or descending order.

  8. Press the Generate Report button.

  9. The report is displayed on the right-hand side of the Report Builder.

The Ventrata dashboard offers the following actions:

  • Save Report - save to create up-to-date reports using the latest data

  • Print Report - print the report in table view, including all your input data and report criteria

  • Download Excel - download the report to work with the output offline

  • Download CSV - download the report to import the output into other applications
