How to Use the Household Level

Households are a way to link all memberships and booking/redemption activity from one household.

Households are a way to link all memberships and booking/redemption activity from one household — this allows for easier reporting and management. The Household Level appears when you select a specific household on the Households page.

Creating Households

When a new membership is purchased and the order includes a last name or company name, a household record is automatically created in the Dashboard.

📗 TIP

If both last name and company name are provided, the last name is used.

Order - Customer Details

In the Ventrata Dashboard, go to Bookings > Households or Bookings > Members. Each row represents a distinct household (Households table) or member (Members table).

  • Household Information - press the pen and paper icon to add or edit the following household fields:

Member Profile

  • Member Information - displays the member's name, country flag and contact details.

    If an email address is provided when the membership is created, the member automatically receives a verification email. A green tick indicates a verified email (or phone number, if provided).

📒 NOTE

Any past or future bookings made with the same verified email or mobile number are automatically linked to the member profile.

Split households by entering a different household on each member's detail.

Member Activity

  • Memberships - lists all memberships associated with the member, including active and expired ones. Displays validity periods (Valid From / Expires On) and auto-renewal status.

Memberships

Use the options on the right-hand side of each membership row to manage a membership. Options include:

  • Bookings - view bookings linked to the membership

  • Scans - view scans linked to the membership

  • + New Order - create a new booking using the selected membership

  • Disable / Enable Auto-Renew - toggle automatic renewal

📒 NOTE

Although Disable / Enable Auto-Renew is displayed at the individual membership level, enabling or disabling this setting affects all memberships created within the same booking.

  • Renew - manually renew the membership

Membership Options

  • MERGE MEMBER INTO - consolidate duplicate member records within the same household

📒 NOTE

Members can be merged only if there is more than one member in the household.

  • MEMBER BOOKINGS - redirects to the Bookings table, filtered to the member's bookings (across all memberships)

  • MEMBER SCANS - redirects to the Scans table, filtered to the member's scans (across all memberships)

  • SEND VERIFICATION EMAIL - resend the verification email to verify the email address provided. The same applies if a phone number is provided.

📒 NOTE

Any past or future bookings made with the same verified email or mobile number are automatically linked to the member profile.

  • + NEW MEMBER - add a new member to the household

  • + NEW MEMBERSHIP - create a new membership booking

  • MERGE HOUSEHOLD - move all members of a household to the target household

📗 TIP

Note the reference ID of the target household before merging, especially if there are multiple households with the same name.

  • HOUSEHOLD BOOKINGS - redirects to the Bookings table, filtered to bookings made by any household member

  • HOUSEHOLD SCANS - redirects to the Scans table, filtered to scans across all household members

Logs

All updates to the household are recorded at the bottom of the household level.

To view specific types of logs, switch between:

  • User Comments

  • System Updates

  • Webhooks, or

  • All Logs tab for a complete list of logs.

These logs capture essential information regarding modifications to members and orders, including who made the changes, what was updated, and any additional notes provided by users.
