Statements

Statements help you simplify account management and improve transparency with your clients

The Statements feature allows your practice to provide clients with clear account summaries. Statement PDFs include account balances and all transactions from a specific billing period.

Prerequisites for Using Statements

To generate statements for a client, both of these settings must be configured:

  1. Billing Type = Consolidated Statements

  2. Billing Period is not empty

Clients set to Billing Type = On Delivery will not have statement PDFs available. On Delivery billing type is intended for practices that prefer an invoice-only workflow for clients.

How to access and send statements

  1. Login to app.vetlogix.io with your user credentials. By default, you will land on the Clients section.

  2. From the side navigation, go to Finance > Statements.

  3. Use the search bar at the top of the page to quickly locate the client you wish to send invoices to.

  4. Once you've located your client, click the hyperlinked client name to open their statement panel.

  5. Select the billing period(s) you want:

    • Use the MONTH and YEAR drop-downs to filter by period, or

    • Check the boxes next to specific statements in the table below

  6. Once you've made your selections you will have one of two options for how to proceed (these are located at the bottom of the open panel):

    1. Print button: Selecting this will generate a PDF that you can send to the client through your preferred email client or print a hard copy to share with the client.

    2. Send button: Selecting this will email the statement directly to the client's billing contact (requires at least one billing contact with a valid email address).


Additional Notes

  • Changes to a client's billing settings apply to the next billing cycle; historical records remain unchanged.

  • Payment terms set at the invoice level still determine when balances are due.

  • You can update contact details or delivery preferences (like switching between email and mail) at any time, and changes take effect immediately. These are managed under Client Profiles & Settings.
