This update introduces a major overhaul of client billing in the Admin app, consolidating invoices, payments, statements, and credits into a single Billing & Finance tab.

What's New in 2.9.16

Client Billing & Finance

  • Billing & Finance Tab

    • Client invoices, payments, statements, and credits are now consolidated under a single Billing & Finance tab in the client profile. Everything your team needs to manage a client's account is in one place, with no navigating between sections.

  • Credit Manager

    • Credits are now a first-class billing record built directly into the Billing & Finance tab. You can create a credit and apply it to a client's balance immediately, or hold it and apply it later, replacing older workarounds like empty invoices and placeholder payments. Credits are reviewable and editable within defined limits. When you remove a credit, the system shows the exact financial impact before you confirm. Credits that already have an amount applied cannot be deleted.

  • Invoice PDFs

    • Invoice PDFs now update based on status and show the relevant details, so you can share a printed or emailed invoice reflecting what has been paid, refunded, or is still outstanding. Draft invoices include a watermark so clients can easily distinguish an estimate from a true bill.

Workflow & Visibility Enhancements

  • Quick Actions

    • A new Quick Actions menu consolidates Add Invoice, Add Credit, and Pay Now into a single control in the billing action bar, getting your team to the right action with fewer clicks.

  • Resource Visibility Across Billing Records

    • Invoices, credits, and payments now display the staff member associated with each record, giving practice managers immediate attribution across all billing activity without leaving the client screen. Additional historical insights are available by reviewing an invoice's history.

  • Updated Account Summary

    • The Account Summary now surfaces last statement balance, current statement balance, and last payment date at a glance, so whoever is doing billing has the context they need without digging through old invoices and statements.

Existing Workflows Preserved

  • Teams comfortable with the current Finance experience can continue using it as-is. The new Billing & Finance tab and Credit Manager are additive, so you can adopt them at your own pace.

Supported Platforms:

  • Web browsers: Chrome, Firefox, Safari, Edge (latest versions)

  • VetLogix Mobile (Scheduling): Automatically uses 2.9.16

  • HerdLogix Mobile: Remains at version 1.9.8

Action Required: Updates are applied automatically on June 3, 2026. Users should log out of the Admin app and refresh their browser to see the latest version. Mobile apps will update based on device settings; some users may need to manually update their app to the latest version in the app store.

What should I do if I'm still experiencing issues mentioned in this release?

Do I have to switch to the new Billing & Finance tab right away?
No. The Billing & Finance tab and Credit Manager are additive. Teams comfortable with the current Finance experience can keep using it as-is and adopt the new tools at their own pace.

What is a Credit, and how is it different from the old workarounds?
A Credit is a billing record memo, created using the new credit manager. You can apply it to a client's balance immediately or hold it for later. This replaces older workarounds like empty invoices and placeholder payments, and gives you a clear, reviewable record. When you remove a credit, the system always shows the exact financial impact before you confirm.

Can I delete a credit after it has been applied?
Credits that already have an amount applied cannot be deleted. For credits that have not been applied, removal is straightforward and the system will confirm the financial impact first.

What's the difference between a draft invoice PDF and a final one?
Draft invoices include a watermark so they are easily recognizable as estimates rather than true bills. Once an invoice moves out of draft, the PDF updates based on status to show what has been paid, refunded, or is still outstanding.

Are my existing billing records and workflows affected?
No. Existing data and Finance workflows remain unchanged. The new tab and Credit manager are additive.
