In this article, we will walk you through a sample approval matrix and show you how each of them translates into a Vic.ai Autonomous Approval flow! To create a flow, ensure that you do have Admin rights for your organization prior to start.

Example #1 - Amount-Based threshold

Description

First Level Approver

Expenses over 10k

This is the most important approval flow, that trumps all others, so it will be the first one created in Autonomous Approvals and stay at the top.
We'll use the "Total Amount" trigger when creating the flow.
There is a two-step approval process, with the CEO being the final step.

Example #2 - GL Accounts for Salary & Commissions

For this example, there is a GL range of 6,000 - 6,999 that triggers the workflow.
This is a single-step approval process, and only requires one individual named to approve the flow.


Example #3 - Las Vegas / SF Location & $2,500 Amount Trigger

Las Vegas / San Francisco over 2.5k

Las Vegas: Amman
San Francisco: Zak

Ryan

This flow triggers based on two pieces of data:

  1. An amount over $2,500

  2. Location of Las Vegas or San Francisco. (When using multiple of the same trigger, they function as an OR connector)

This is a two-step approval process. In the first step, dependent upon the location, is routed to the correct approver. The second step is approved by Ryan.


Example #4 - Default Flow

This is the default, or fallback flow, that will happen if none of the other flows above it are triggered. It has a single approval step, which any one of three approvers can perform.
