Welcome to the Patrons section of Viewcy's Business Tools! This feature provides event organizers and venue operators with valuable insights into their patrons, enabling better marketing strategies and enhanced event experiences.

Overview

The Patrons tab within the Reporting section offers a comprehensive overview of all guests who have interacted with your events. It consolidates key metrics such as total amount spent, number of events attended, and membership status, providing you with the data needed to tailor your marketing efforts and improve patron engagement.


Purpose of the Patrons List

Understanding your audience is crucial for the success of any event. The Patrons List allows you to:

  • Identify Top Patrons: See who your most valuable patrons are based on their spending and attendance.

  • Tailor Marketing Strategies: Use insights on patron behavior to create targeted promotions and communications.

  • Enhance Engagement: Recognize loyal patrons and offer them special incentives or membership opportunities.

  • Data-Driven Decisions: Make informed choices about event planning and resource allocation based on patron metrics.

By leveraging this information, you can foster stronger relationships with your audience and drive repeat attendance.


Accessing the Patrons Tab

  1. Log In: Sign in to your Viewcy account.

  2. Navigate to Business Tools: From the main menu, select Business Tools.

  3. Go to Reporting: Click on the Reporting section.

  4. Select Patrons Tab: Choose the Patrons tab to access your Patrons List.


Understanding the Patrons List View

Table Columns Explained

The Patrons List view displays a table with the following columns:

  1. Name:

    • Full name of the patron.

    • Clickable link that navigates to the Patron Detail View.

  2. Email:

    • Email address associated with the patron.

  3. Amount Spent:

    • Total amount the patron has spent across all your events.

    • Calculation: Sum of all transactions associated with the patron's email.

  4. Events Attended:

    • Total number of events the patron has attended.

    • Includes both paid and free events.

  5. Membership Status:

    • Indicates if the patron is an active member.

    • Displays as "Member since [Date]" if applicable.

  6. Accepts Marketing Status:

    • Shows whether the patron has opted in to receive marketing communications.

  7. Actions ("..."):

    • More Info: Navigates to the Patron Detail View.

    • View Profile: Navigates to the patron's user profile (if available).

Search Functionality:

  • Located at the top of the Patrons List.

  • You Can Search By:

    • Name: Find patrons by their full or partial names.

    • Email: Locate patrons using their email addresses.

Sorting and Pagination

Sorting the Table:

  • Click on any column header to sort the table based on that column.

  • Default Sort: The table initially sorts by Amount Spent in descending order (highest amount first).

  • Sorting applies to the entire dataset, not just the current page.

Pagination:

  • The table displays 50 patrons per page.

  • Use the pagination controls at the bottom of the table to navigate between pages.

  • The total number of patrons is displayed for reference (e.g., "Showing 1-50 of 200 patrons").

Exporting Patron Data

You can export the entire Patrons List for external analysis or record-keeping.

To Export Data:

  1. Click the "..." Menu: Located at the top-right corner of the Patrons List view.

  2. Select Export CSV: Choose "Export CSV" from the dropdown menu.

  3. Download File: A CSV file containing all patron data will be downloaded.


Viewing Patron Details

To gain deeper insights into an individual patron's interactions with your organization, you can access their detail view.

Accessing the Patron Detail View:

  • Click on the patron's Name in the Patrons List.

  • Or, select "More Info" from the Actions ("...") menu next to the patron.

Information Displayed:

  1. Patron Name and Email:

    • Full name and email address.

  2. Spent:

    • Total amount the patron has spent on your events.

  3. Events Attended:

    • Number of events the patron has attended.

  4. Membership Status:

    • If the patron is an active member, displays "Member since [Date]".

  5. Order List:

    • A table listing all orders associated with the patron.

    • Columns Include:

      • Order ID: Unique identifier for each order.

      • Date: When the order was placed.

      • Amount: Total amount for the order.

      • Payment Type: Method used for payment (e.g., Credit Card, Cash).

      • Status: Current status of the order (e.g., Completed, Refunded).

      • Product: Name of the purchased item (Event, Membership Tier, Video).

  6. Activity Feed:

    • A chronological list of all actions taken by the patron.

    • Includes bookings, refunds, event registrations, etc.

Navigating Back:

  • Use the "Back" button or navigation links to return to the Patrons List view.


Edge Cases and Special Considerations

Inclusion Criteria for Patrons:

  • Patrons are added to the list if they have an associated email address.

  • This includes patrons who:

    1. Purchase Tickets:

      • Both online and in-person transactions (if an email is provided).

    2. Register for Free Events:

      • Email collected during the registration process.

    3. Are Added Manually:

      • When adding guests manually, if an email address is entered, they are included in the Patrons List.

    4. Provide Additional Guest Info:

      • If additional guest information is collected during checkout, including email addresses, those guests are added.

Special Cases:

  • Anonymous Guests:

    • Patrons without an email address are not added to the Patrons List.

    • This ensures the data reflects identifiable patrons for accurate reporting.

  • Multiple Emails:

    • Transactions associated with different emails are treated as separate patrons.

    • Ensure consistent use of email addresses to consolidate patron data.
