Effective communication with your attendees and members is essential for the success of your events and the growth of your community. Viewcy provides intuitive tools that allow you to send emails directly to event guests and membership subscribers, ensuring everyone stays informed and engaged.

Overview

Viewcy offers powerful email communication tools that enable you to:

  • Send customized emails to all event attendees.

  • Communicate with membership subscribers, including filtering by specific membership tiers.

  • Automate reminder emails to enhance engagement and attendance.


Emailing Event Attendees

Accessing the Email Tool for Events

  1. Log In: Sign in to your Viewcy account.

  2. Navigate to Your Event: Click the profile icon in the top-right corner, then select the appropriate organization (the one associated with your event) from the Business Tools section.

  3. Finding the Event: Click on Events tab on the left panel, you'll see all your events listed there.

  4. Guests Tab: Click the three dots next to the event you wish to email, then select Guests from the menu.

  5. Email Guests: Click on the three dots next to the Add guest button, then select "Send email to guests" option

Sending Emails to Event Guests

  1. Compose Your Message:

    • Subject Line: Enter a clear and engaging subject for your email.

    • Message Body: Write your message in the text editor provided. Include any important information, updates, or instructions.

  2. Review Recipient Count:

    • At the top, the total number of attendees eligible to receive the email is displayed. The email can be sent to specific ticket holders, only refunded ticket holders, only active ticket holders, or all attendees (both active and refunded).

  3. Send the Email:

    • Click on the Send Emails button to send your message to all attendees.

    • A confirmation message may appear to confirm that you wish to send the email to all guests.

Automatic Reminder Emails

Viewcy enhances attendee engagement by sending automatic reminder emails:

  • In-Person Events:

    • 24-Hour Reminder: Attendees receive an email reminder 24 hours before the event starts.

  • Online Streaming Events:

    • 15-Minute Reminder: Attendees receive an email reminder 15 minutes before the event starts, including the link to join the online event.

These reminders help ensure your guests don't miss your event.


Emailing Membership Subscribers

Accessing the Members Tab

  1. Log In: Sign in to your Viewcy account.

  2. Navigate to Memberships: Click on the Memberships tab in the main menu.

  3. Select Members: Within the Memberships section, select the Members tab to view all your membership subscribers.

Filtering Members by Tier

  1. Filter Options: Locate the filter options at the top of the Members list.

  2. Select Membership Tier:

    • Click on the Tier dropdown menu.

    • Choose the specific membership tier you want to target.

    • The Members list will update to display only members subscribed to the selected tier.

Sending Emails to Members

  1. Access the Email List Option:

    • Click on the "..." (ellipsis) icon located at the top-right corner of the Members list.

    • Select Email List from the dropdown menu.

  2. Compose Your Message:

    • Subject Line: Enter a clear and relevant subject for your email.

    • Message Body: Craft your message in the text editor. Include any updates, offers, or information pertinent to the selected membership tier.

  3. Review Recipient Count:

    • Before sending, confirm the number of members who will receive the email, based on your filter selection.

  4. Send the Email:

    • Click on the Send Emails button to dispatch your message to the filtered list of members.

Note: This feature allows you to send targeted communications to specific groups within your membership base, enhancing the relevance and effectiveness of your messages.
