Collecting Information from Attendees: Custom Questions and Waivers

Viewcy allows event organizers to collect additional information from their attendees through custom questions and waivers.

Overview

Collecting additional information from your attendees can enhance event planning, ensure compliance, and improve the overall experience. Whether you need dietary preferences, t-shirt sizes, or acceptance of terms and conditions, Viewcy's custom questions and waivers make it simple.


Accessing the 'Collect Information From' Settings

To add custom questions or waivers to your event:

  1. Log In: Sign in to your Viewcy account.

  2. Navigate to Events: Click on the Events tab in the main menu.

  3. Select Your Event: Choose the event you wish to edit.

  4. Manage Event: Click on Manage Event for the selected event.

  5. Event Settings: Within the event management dashboard, click on the Details tab, and then select Settings.

  6. Collect Information From: Scroll down to the Collect Information From section.


Collecting Information from Attendees

In the Collect Information From section, you can specify from whom you want to collect additional information:

Ticket Buyer Only vs. Each Attendee

  • Ticket Buyer Only:

    • Collects additional information only from the person purchasing the tickets.

    • Ideal when the ticket buyer is the primary point of contact.

  • Each Attendee:

    • Collects information from every attendee associated with the purchase.

    • Useful for events where individual attendee details are necessary (e.g., workshops, conferences).

To Select an Option:

  • Choose either "Ticket Buyer Only" or "Each Attendee" by clicking the corresponding option.


Adding Custom Questions

Custom questions allow you to gather specific information tailored to your event's needs.

  1. Add a New Question:

    • Click on the "Add a New Question" button within the Collect Information From section.

Question Prompt

  • Question:

    • In the Question field, type the question you want to ask.

    • Be clear and concise to ensure attendees understand what is required.

Question Format

Select the format for how the attendee will respond:

  • Text:

    • Provides an open text field for attendees to enter their answer.

    • Suitable for short answers or explanations.

  • Additional Terms and Conditions (Waivers):

    • Displays a waiver or terms that attendees must agree to.

    • Attendees will be required to check a box indicating their acceptance.

To Select a Format:

  • Choose either "Text" or "Additional Terms and Conditions (Waivers)" from the Question Format dropdown menu.

Optional Settings

Required

  • Required Question:

    • If checked, attendees must answer the question to complete their registration.

    • Use for essential information or mandatory agreements.

To Make a Question Required:

  • Check the "Required" checkbox beneath the question.

Show Question for Specific Tickets

  • Specific Tickets:

    • Display the question only for certain ticket types.

    • Useful when different tickets require different information.

To Assign to Specific Tickets:

  1. Enable the Option:

    • Check the "Show this question for specific tickets" checkbox.

  2. Select Tickets:

    • A list of your event's tickets will appear.

    • Check the boxes next to the tickets for which you want the question to appear.


Default Information Collected

By default, Viewcy collects the following information from attendees:

  • First Name

  • Last Name

  • Email Address

This default information is essential for communication and event management purposes.


Saving and Previewing Your Questions

  1. Save Changes:

    • After adding your questions and configuring settings, click the "Save" button at the bottom of the page.

  2. Preview Registration Form:

    • To see how your questions will appear to attendees, navigate to your event page and proceed through the registration process up to the point where the questions are displayed.

    • Ensure that all questions appear correctly and function as intended.
