Save time with Event Template

Save an event's setup once, then start every new event from it, with tickets, checkout questions and your message to guests already in place.

Written by Turjo Khan

If you run the same kind of event again and again, you no longer need to find an old event to duplicate. Save its setup as a template, keep it up to date in one place, and pick it whenever you create a new event.

Save an event as a template

  1. Go to Events in your dashboard.

  2. Find the event whose setup you want to reuse, open its ⋯ menu and choose Save as template.

  3. Choose Save as a new template.

  4. Give it a name your team will recognise, like Standard Show or Friday Workshop. It starts as the event's name.

  5. Click Save.

Dates and registrations aren't saved, so a template is ready for any future date.

Tip: set the event up exactly the way you want new events to look before you save it. The template copies that event's setup at the moment you save.

Create an event from a template

  1. Click Create an Event.

  2. On the Start from a template card, click Use Template.

  3. At the top of the form, choose your template from Start from a template. The form fills in with the template's name, venue and image, and shows its message to guests.

  4. Change the name, venue, description or image if you need to. What you type here is used instead of the template's.

  5. Add your date and time, then publish as usual.

Tickets, capacity, checkout questions, the message to guests and door times always come from the template. To change them for one event, edit the event after it's created.

What a template includes

Carried over

Not carried over

✓ Tickets, prices and ticket groups

✕ Dates and times

✓ Capacity

✕ Ticket sale start and end dates

✓ Checkout questions

✕ Attendees and registrations

✓ Donation prompt

✕ Secret tickets

✓ Message to guests

✓ Name, venue, description, category and featured image

✓ Door times and the information you collect

✓ Visibility, timezone, theme and refund policy

Ticket sale dates are left out on purpose, so a template saved months ago can't put tickets on sale on an old date. Set them fresh on each new event.

Update a template

There's no separate form for editing a template. You update it from a real event:

  1. Make your changes on any event you own, for example a new message to guests.

  2. Open that event's ⋯ menu and choose Save as template.

  3. Choose Replace an existing template, pick the template to replace, and click Save.

Events you already created from the template don't change. Only new events use the updated setup.

See, rename and delete your templates

Go to Events → Global Event Settings and scroll to Event Templates. (Screenshot) For each template you'll see:

  • its message to guests in full, so you can spot an out-of-date message before you use it

  • its ticket names, capacity, donation prompt and when it was last updated

From here you can Rename or Delete a template. Deleting a template doesn't affect events you already created from it.

Delete one to make room for another.

Unique names:
Up to 120 characters. Two templates can't share a name, even with different capitals.

Events only:
Templates aren't available when you create a private lesson.

Frequently asked questions

I changed a template. Will my upcoming events update?

No. A template only sets up new events. To change events you already created, edit each one directly.

How is a template different from duplicating an event?

Duplicating copies one specific event, including its ticket sale dates. A template is a named setup you can keep reusing without holding on to an old event, and it leaves out dates so nothing stale carries over.

I don't see "Save as template" in the menu.

Check that the event belongs to your organization's profile and that you manage that profile. It doesn't appear on events you only collaborate on.

I picked a template but the message to guests is out of date.

The message comes from the template, so update the template itself (see "Update a template"). For an event you've already created, edit that event's message directly.
