My Team Messages in the menu of the front-end Client Portal and used for various communications from the Firm to the Client and vice-versa. This useful feature does not require any setup and is ready to use when the Project is opened in Filevine:
Send a Message to your Client
To initiate a message, navigate to the Activity section of your Filevine Project, enter a Note and Hashtag the note body with #clientportal like so:
Once the message appears on the Client Portal, the client has the ability to message you back directly. They do so by selecting Send Reply, which will open a chat box for the message to be inserted:
Once the message is complete the Client can then select Send Reply:
The message reply will appear under the original Note in the Filevine Project, you’ll notice this change with the red number indicator next to your Note:
To view the message reply you will select the note to expand it:
Further replies from the Client to this initial message will continue to stack under the Note in Filevine but will not post to the client portal messages. To have a new message sent into the Client Portal, a new Note will need to be initiated from the Activity Section of the Filevine Project with the #clientportal.
NOTE: If you use the 'move to' function within Filevine and move the Note to a different project, it will remove it from the front-end Client Portal and display the next most recent note with the hashtag on the project.
Creative ways to use Legal Team Messages:
Wish the Client a Happy Birthday!
Wish the Client a speedy recovery from surgery or during the treatment stage.
Ask the Client to update their contact information in Client Portal.
Ask the Client to report any new developments in their treatment regiment.
Tell the Client something you want them to know but doesn’t necessarily rise to the importance of a phone call or text message.
Provide small updates when there are delays.
NOTE: If you are a Follower on the Filevine project you will see when a note is updated on your Feed and can use your notifications to indicate a response as well.
