Dynamically select which Project Vitals, Team Members, and branding appear from Filevine in Client Portal.

Brand Your Client Portal

Here you will find a few ways to brand your portal to make it feel white-labeled for your clients and branded for your firm:

  • Upload your Logo: This will show on the portal as well as outgoing Emails.

  • Upload Background: This will show only on the login page for clients.

  • Logo Background Color: Effects the top bar of an open case on the front-end of the portal.

  • Client Portal Accent Color: Effects the Menu color and condensed case view.

  • Client Portal Accent Text Color: Effects the titles to each section on the front-end of the portal.

  • Insert your Main Org Phone Number to Display

  • Branded Display Name

  • Allow Archived Projects to be Accessed in Client Portal

We suggest using transparent .png for your logo and to check the way it looks on the front-end once you have it uploaded. You will also want to think of the 'pretty name' you'll use as your display name to ensure its clear who the Client is working with:

The Main Org Phone Number to Display is where you will indicate the law firm's main phone number for your clients to reference on their Client Portal.

The Test SMS Number is for testing your auto SMS features and logging into the front-end of the portal for testing as you configure!

NOTE: The Branded Display Name will be present in a few places within the VineConnect features:

  • Automatic SMS updates triggered by Phase Change

  • Phase Categories

  • Case Timeline

Project Naming Convention

We understand that naming conventions on the Filevine platform may not be how you would prefer your Clients view their cases on VineConnect. Using the Project Naming Convention solves that problem by allowing you to customize the project name for your front-end clients.

When you select the option to Customize the Project Name Convention, you'll be given a dropdown of two options for your Display Name.

  • Client Full Name will pull the data from the Client contact card in Filevine and utilize that as the project name on the front-end.

  • A Primary Field Value allows you to pull data from an eligible field within the Filevine Project.

If you select Primary Field Value you will then need to choose the Project Type, the Section the field is in, and the Field itself.

NOTE: Ensure this is a field that is utilized appropriately by your firm to avoid any missing data being present on the front-end of the portal.

If you choose to Append A Field Value you will see this hyphenated after both Display options (Customer Full Name or A Primary Field Value). By selecting this option you are again given the choice of selecting the Project Type, the Section the field is in, and the Field itself.

Ensure you Save your work when you are finished and confirm the convention you chose is presented properly on the front-end of VineConnect. This is a great time to use the SETUP phase of the Launchpad!

Setting Up Your Custom Project Vitals

Project Vitals are a great way to highlight the important information about your client's Project within Filevine and now you can bring those same Project Vitals into the VineConnect Client Portal!

Better yet you can customize which Vitals appear, which don't, and in what order they appear for every Project Type Template you use in Filevine!

Vitals will only show on the Client Portal front-end if data is present in the Filevine Project. If a chosen Vital has an empty value in Filevine, it will not display in Client Portal.

When first accessing this section you'll notice options for you to choose from to help determine how you want default data to display for your Clients:

  • Display Project Email Address in Client Portal - this allows for the project email to be present for clients to utilize direct emailing into the project in Filevine.

  • Display Project SMS Number - showing your project SMS can help clients communicate with you without having to call. This only shows up if you have a project SMS number active on the project itself.

  • Display default vital for Client Name - using this will ensure the Client Name you have present in the contact card is displayed for them. By unchecking that box it will remove this vital from displaying for your Clients.

  • Display default vital for Project Name - this is a great way to customize how the project name displays for client since they may have verbiage you want changed/simplified. By unchecking that box it will remove this vital from displaying for your Clients.

  • Display default vital for Project ID - sometimes this data is not vital to the information you'd like to present to clients and can instead be customized. By unchecking that box it will remove this vital from displaying for your Clients.

You can keep this default configuration or choose to further customize those Vitals as well by deselecting them and fetching your vitals from the project template as mentioned above.

To configure your Custom Vitals you will first select the Project Type Template you would like to configure from Filevine, and then FETCH the Vitals associated with the Template:

From here, simply select and Add whichever Project Vitals you'd like to have displayed for your clients. You can choose to re-name a Vital if preferred and also sort the Vitals in the order you would like them displayed:

NOTE: Be sure SAVE when you have added those vitals you want. You can configure up to TEN (10) Vitals which must be present in the Filevine Template to be eligible for selection in VineConnect.

Display Your Project's Team Assignments in Client Portal

If you use the Team section in Filevine, select “Config by Org Roles" which will tell VineConnect which roles you want displayed in the Client Portal from that section specifically. For firms that rely on Person Fields in Static Sections, select “Config by Person Field” instead.

You'll also be able to override the title on the front-end of the portal so you can ensure your clients know why they are seeing this area, some examples would be "Your Legal Team" or "LawFirmName Team".

NOTE: The difference between "Fetch" and "Static" is simply that "Fetch" will dynamically reference the team member however it is set in your Filevine project, while a "Static" selection allows you to set field values that don't change from project to project.

Config by Person Field

With this option you'll fetch the information and select the Project Type you're using, the Section the person fields are present, and the person field itself to ensure you're pulling the right information. You can do this for as many person fields in a static section as you would like:

You'll also see additional options for displaying team information such as:

  • Set Static Person: this is useful if you want there to be a person displayed regardless of the contact card in the person field.

  • Enable Phone Number: this will pull from the contact card inserted in the person field.

  • Override Phone: this will allow you to set a static phone number instead of pulling from the contact card.

  • Enable Email Address: this will show the email address present in the contact card that is inserted into that person field.

  • Override Email Address: the allows you to set a static email address instead of pulling from the contact card.

  • Order of Appearance: you can use the arrows on the right to change the order in which your team members are displayed on the front-end to your clients.

Config by Org Role

With this option you'll pull the team by the Org Roles set in your Org and present in your Team section. You'll choose which role you want displayed by fetching and selecting it in the dropdown:

You'll also see additional options for displaying your team such as:

  • Subscriber Required: this will ensure the team member doesn't show up on the front-end unless they are specifically subscribed to that project.

  • Enable Email: this will show the email address associated with the profile of the person who is using that Org role.

  • Enable Feedback: this allows for internal feedback on individuals which is a great way to gather feedback without it going public.

NOTE: Ensure you 'Save' or 'Save All' when you are finished setting your team up.
