Filevine Custom Variables

Variables can be used across multiple tools within VineConnect, and are now customizable!

When utilizing the various valuable tools within VineConnect you can now determine which Variables will work within those different areas! This article will help you determine when/how to use them:

Filevine Variables under your Admin Tools, will present to you the available variables and which tools they can be utilized in. Where you see a green checkmark indicates where a variable can be used:

Variables can be utilized within the following tools:

  • Project Timeline - your descriptions are now even more powerful than before, with rich text, embeddable media/images, and links you can now pull data from the project into the description you provide your clients.

  • Timeline Mapping - while providing clients with a birds-eye-view of the life of their case you can now pull data from projects to provide further context.

  • Phase Change SMS - its always a good idea to pull relevant data into your automated texts to ensure clients understand why they are being contacted.

  • Review Request SMS - we want to ensure you pull the data pertaining to your firm so they know who they are reviewing.

  • Client Banner Message - these variables will expand in the future and pulling the client name into a banner allows for personalization.

  • Automated Workflow (Action) - these pertain to the Body of an SMS, Note, Task, or other fillable item which makes automation even more valuable.

  • Mass Text - similarly to other SMS functions we want to be able to pull in relevant data when we text clients to provide context of communication.

  • Email Template - similar to your SMS functionality you can utilize an automated workflow Action (and soon mass communication) to construct an email template with variables that pull project data.

In each of these areas there is an active link that will navigate you to this page so you can be sure you're using the right Variables as well:

Custom Variables

We have now given you the capability to create a custom variable from a field within your Filevine project template. When you select this tab you'll see a list of custom variables you've created and a button to Add New Variable to your usable list:

When you select Add New Variable it will open a window that allows you to select the following information to specify the data point you want to reference:

  • Project Type - this is important if you have more than one, you will need to specify.

  • Section - which section the field lives in that you plan to reference.

  • Field - the specific field you want to pull data from on your project.

  • Variable Name - ensure its unique or perfectly matches the field name to prevent confusion when utilizing the variable.

  • Variable Key - this automatically generates when you create the variable and is used when referencing this field you selected.

  • Variable Description - this allows you to create additional context if desired.

  • Assignments for Usage - if you don't want this data to be usable in certain areas you can select only those tools you want to have access to this data point.

Once you are finished you will select the 'Submit' button to save this custom variable and have it present on your list:

Notice that once it is saved it is not active, you will need to toggle it active in order to use it in any area you've check marked it's usage. You can also action this custom variable further by editing, saving and removing it completely.

NOTE: The Variable Key is available once you've saved and can be directly copied with the symbol next to the variable.
