Mass Create, Update, and Archive Projects in Filevine

Our Project Migrator is an invaluable tool for quickly creating projects in any Filevine environment on any Project Type Template with ease and efficiency.

Our Project Migrator tool supports three job types: Create, Update, and Archive.

Create Projects

The Project Create job type does exactly that: It creates projects en masse in Filevine. You'll be required to supply a contact record as the Client record, a Project name, and identify the Project Type Template to assign the new project to.

There are three (3) ways to create a Client Contact Record when creating a Project:

  • Create a New Contact Record: You will be supplied with a CSV template that contains all the fields available in the Contact Create job, thereby allowing you to create a contact at the same time you are creating the project.

  • Assign Client Contact Record by Filevine Contact ID: By suppling a contactID or "Person ID" as its known in Filevine Report Builder, you can create an associated project.

  • Assign Client Contact Record by Contacts Migrator Job: If you have previously created a list of contact records using VineMigrator's Contact Create tool, you can choose the Job ID and the system will automatically populated the ContactId for you in the template!

Whatever method you choose, VineMigrator will provide a templated CSV file for you to populate. The fields available to populate on Project Create are represented as columns in the template and are as follows:

  • Project Name (string value) *Required

  • Project Type ID (supply the Project Type ID from the Project Type ID and Phase ID Map download file.) *Required

  • Incident Date

  • Incident Description

  • Phase ID (supply the ID provided in the Project Type ID and Phase ID Map download file. If not provided, the system will create the project with the 1st Phase listed.)

Update Projects

Project ID is required. Project ID can be retrieved from any prior Project Create jobs performed within VineMigrator as a log export, or by creating a List of Projects from the Filevine Report Builder, and including "Project ID" in the columns.

With the Update Projects job type, you can mass update Project Names, Incident Date, Incident Descriptions, or Project Phases. This tool is particularly helpful for cleaning up post-data migration issues.

Archive Projects

Project ID is required. This tool is helpful for quickly archiving a block of projects. While this can technically be performed using the Mass Updates tool in Filevine's Advanced Access panel, that function requires providing a curated List of Projects report first. It's not always clear-cut to create a List of Projects targeting specific projects you want to archive. This tool merely requires being provided Project ID, and it handles the job quickly and efficiently.

Use Cases

  • Initial project/case migrations. All you'll need is a list of case matter names exported from your legacy system into CSV or Excel, and you are good to go!

  • Ongoing, regular new project imports. Any time you find yourself doing manual data entry to create new projects one-by-one on a regular basis, that's your sign to save yourself the time and hassle and just use VineMigrator.

  • Post-Migration fixes. Data migration can be messy and have unexpected results. With VineMigrator's Project Migrator, you can update or bulk archive at the top-line project level. Very handy for mapping legacy phases to your Filevine phases, and updating project naming conventions across the Org.
