Here's where to find our attendance tracking feature

Tracking attendance with live online classes can be a drag. Either you need to take time out of your class to ensure everyone is present, or you need to have an additional staff member complete the official count on your behalf.

With our attendance tracking feature, you can automatically see who came to class, when they logged in, and how long they stayed. This is key to tracking not only who attended, but also who came in late.

How to Use Attendance Tracking:

Virtually's attendance tracking feature will work automatically for any event you create in Virtually!

Just create your event with whichever conferencing tool you'd like (though we recommend Zoom because we're deeply integrated and have advanced features!) and we'll grab all that juicy data.

How Attendance Tracking Works:

When you create events in Virtually, we autogenerate a unique link that brings you to a proxy page that looks like this:

Learners will be prompted to enter their email in order to join the event. This is cached, so they'll only need to enter their email once. As long as they continue to attend events using the same device, their email will auto-fill on any Virtually event landing page.

Note: It's important that the email they enter is the same email that you have in your Virtually member database to ensure they get attendance credit!

From there, we match the email the learner enters with the emails in your member database to determine who attended and when they joined the call.

Where and How Attendance Data Appears in Virtually:

From there, head to the Insights tab. We showcase attendance data in 2 ways:

1. By event:

For each event we showcase attendance rate, in addition to number of attendees, absences, and guests.

We calculate attendance rate based on number of invitees. That said, if you invited a tag with 100 learners and only 50 attended, your attendance rate would be 50%.

You can click into any given event report to get detailed attendance data, including when learners joined, left, the duration they stayed, and whether or not they were on time.

Click the three dots at the top right of any attendance report to download to CSV or export to Airtable. With our Zapier integration, you can have attendance data automatically export to your tool of choice after each event.

2. By student:

The Insights tab showcases learners with the highest attendance and learners with the lowest attendance. Click on any individual student name to see their detailed attendance history.

This is a great way to determine the true ambassadors of your program and touch base with anyone that might be falling behind.

Attendance Filtering

You can also filter your attendance views by date range and tag.

Just select your desired date range:

And the desired tags you'd like to view:

This is a great way to see trends across specific tags to get a real pulse on event performance.

Attendance Caveats

If users are accessing events via Safari on their mobile device, they must make sure that Zoom is installed on their phone. If it isn't, they'll come upon this error:
