How to Notify Your Learners of Upcoming Events

Virtually offers a variety of options depending on the learner experience you'd like to create!

One of the things that Virtually does best is make sure your members know exactly when and where to access events. But there's a variety of ways to do, depending on the member experience you'd like to facilitate.

In this article, we'll share a few of the ways you can notify your learners:

Send to Calendar Only:

This use case is ideal for programs that don't want to send too many emails/notifications to their learners.

Typically programs that choose no invites or reminders will integrate Virtually with a calendar that they've shared with their learners. (You can share calendars via Google Calendar itself). That way, learners decide whether to add the shared calendar to their own and attend events.

Send to Calendar + Calendar Invites:

Selecting this option will send your Virtually events to your selected calendar and send Google Calendar invites directly to your invited learners as well.

Learners will receive an event invite email and events will appear on their personal calendars.

Note: Learners will receive a single email for recurring events (not an email for every occurrence of that event, although all occurrences will appear on their calendar).

Send to Calendar + Reminders

This use case is ideal for organizations that don't want to bombard their members' calendars, but want to make sure members receive event reminders.

Organizations that choose this use case will typically share the integrated calendar with their members via Google Calendar. That way, members can decide whether or not they'd like to add the shared calendar to their personal calendar.

Additionally, members will receive reminders (so that even if they haven't added the calendar to their own, they'll know what's coming up and can choose to attend!).

Organizations can add up to 3 reminders for events up to 24 hours before the event starts.

Reminders go out via email and, if integrated, via Slack.

The Works! (Send to Calendar + Invites + Reminders)

This option is best if you really want to make sure your learners join your events!

With this option, organizations tend to use the integrated calendar for internal use.

Events invites will go out to members via email and will appear on their calendars.

Additionally, members will receive reminders via email and Slack.

Members will need to work super hard to not know where or when your organization's events are!
