Syncing Member data with Zapier

Virtually's Zapier integration is currently invite only. Once you upgrade, you can request the invite link in order to set up your first zaps!

We're working hard to add Zap actions within Virtually. In this article, we'll discuss how you can sync member data.

Why Sync Member Data with Virtually?

If your member roster is in flux or continuously changing, having to consistently upload .csv's to Virtually can get cumbersome (and require you to continuously track to make sure your member data in Virtually is correct).

With member syncing, you can:

  1. Create a Zap so that as soon as a member is added to your single source of student truth (i.e. Airtable, Hubspot, etc.), that member will get automatically added to your Virtually roster.

  2. Create a separate Zap to remove members that are added to a specific 'removed' list.

How to Set Up Member Syncing

If you'd like to leverage Virtually's Zapier integration, be sure to request an invite link once you've upgraded your Virtually account.

From there, follow these steps:

  1. Log into you Zapier account and create a new Zap

  2. Select your source of student data (i.e. Airtable)

  3. Choose a trigger event such as 'New Record' or 'New or Updated Record'

  4. Follow the steps to select which Airtable table you'd like to pull from so that the records go into Virtually

  5. Once you've set up the trigger portion of your Zap and tested it, it's time to set up the Action portion

  6. Search for Virtually

  7. Choose the Action Event: "Create or Update Member" OR "Remove Member"

  8. Choose your Virtually account (be sure to connect your account if you haven't already!)

  9. Follow the steps in Zapier so that Virtually knows exactly which fields to pull from your Airtable into Virtually

  10. If you'd like these members to be tagged in Virtually, be sure you've created that tag in your Virtually account. From there, you can select it when setting up your Zap. (i.e. if this is pulling from your Cohort 4 application Airtable, you can auto-tag these members as Cohort 4). You can choose multiple tags in this step.

  11. Test your Zap and turn it on!
