If you have a fluctuating member roster, making sure new members are added to relevant events and members that have dropped off are removed from all events can be pretty tedious and time consuming.
With Retroactive Invites and Offboarding, Virtually automates those processes on your behalf (respectively).
Turning on Retroactive Invites and Offboarding
Retroactive Invites and Offboarding are features you'll need to opt-in to. You can do so by heading to Settings and clicking the top tab that says 'Preferences.' From there, you can choose to turn on the retroactive invites toggle and/or the oboarding toggle.
Retroactive Invites
With Retroactive Invites, you can complete you event creation legwork up front before your member roster is finalized.
Let's say you're running an upcoming cohort. Learners are signing up and trickling in. You want to make sure that they receive all relevant calendar invites immediately upon signing up for your program.
With Retroactive Invites, you can create all of your cohort's events well before your cart closes (or even opens)!
For Example: If you created events with the tag 'Cohort 4', anyone subsequently added to your Virtually member roster with the tag 'Cohort 4' would immediately and automatically receive all 'Cohort 4' events and reminders! (Based on the settings you chose when creating the events, of course.)
Prior to Retroactive Invites, you needed to import your roster before creating events to make sure everyone got relevant notifications. But not anymore!
This is especially helpful if you have any last minute signups, as you won't have to do any additional work to make sure they're fully up to date with event invites and reminders. How cool is that?
Offboarding
Offboarding is essentially the opposite of Retroactive Invites. If someone drops from your program, how can you make sure they get removed from all relevant calendar invites and reminders?
With Offboarding, as soon as a member is removed from a tag (or removed from your Virtually account), they'll get removed from all relevant events and reminders automatically.
