Automatically Export Attendance & Survey Data with Zapier

Learn how to set up a Zap that will automatically export your attendance and survey data to the tool of your choice!

Here at Virtually, our goal is to automate as much of your live event workflow as humanly possible.

With our new Zapier triggers to automatically export attendance and survey data to your tool of choice, you can start to do just that!

Read on to learn how to get it set up.

How To Set Up Your Zap

1. Head over to Zapier and create a new Zap. If you haven't yet used Virtually for any Zaps, you can access the Virtually Zapier invite link right from within your Virtually account under 'Settings.'

2. Choose Virtually 1.0.1 as your Trigger app. To set up a Zap that automatically exports Attendance after each event, choose "New Attendance Record." To set up a Zap that automatically exports Survey data as it comes in, choose "New Survey Response Record."

3. Follow the steps in Zapier to choose the corresponding Virtually account. If you haven't yet integrated your Virtually account with Zapier, be sure to follow the steps presented by Zapier to do so!

4. Choose the tool you'd like to export your data to. This can be your CRM, Notion, Excel, or anything. Note: Virtually has a native integration of Airtable, so if you'd like to export to Airtable, you can bypass using the Zap entirely.

5. Once you've chosen your export tool and followed the steps in Zapier, go ahead and turn on your zap!

Note: How This Zap Works

When you auto-send attendance data, this Zap triggers student by student.

That said, there may be a delay of up to 15 min. for your data to appear in your desired tool after an event.

The great number of attendees at an event, the longer the data will take to appear.
