How can I set or change employee permissions?

User management in your professional Viva.com account allows you to organize your team's responsibilities and access rights, tailoring them to your business needs. You can easily create new users, assign them specific roles, and grant them access to physical or online stores. Additionally, you have the ability to edit permissions or delete users as needed. Follow the instructions below for proper user management.


To do so:

  1. Log in to your primary account.

  2. Click on Settings in the left navigation and select Users

  3. Click on the New user button to Add new employee users:

  4. In the pop up window

  • First and Last name

  • the Country of Residence

  • Mobile phone number

  • email address

  • Date of Birth

  • City of Birth

  • Country of Birth

  • the User roles

  • and the payment sources this employee has access to from the Show/ Manage transactions from

  • Confirm that the data entered is complete and correct and click on the Create button.

The available options are:

View balance

Can see Dashboard, Accounts, Sales & Reports menus (and the Sales Transactions submenu only)

Can see Create Card & Activate Card options and Viva Account ID

Can see Send Money and Deposit Money options at the top of the screen

Can see Balance of account

Allow refunds

Can see Dashboard & Sales menus (and the Sales Transactions submenu only)

Can see Create Card & Activate Card options

Cannot see Payment/transfer options at the top of the screen

Cannot see Balance of account

Make sales

Can see Dashboard & Sales menus (and the Sales Transactions and Online Payments submenus)

Can see Create Card & Activate Card options

Can see Request Money option at the top of the screen

Cannot see Balance of account

Manage account

Can see Dashboard, Sales, Beneficiaries & Settings menus (and submenus) including the Users submenu - under Settings - which allows for the creation of additional child users

To access and adjust the roles for an employee:

Click on the Edit button against the required user.

The Edit User dialog box is displayed:

  1. In the User Roles field, delete any roles that are no longer applicable, then from the dropdown, choose new or amended permissions one at a time for the user.

  2. Click on the Update button to save the changes.


How can I delete an employee user?

If you are the business owner or a user with an account management role, you have the option to delete one or more users through the viva.com platform. To delete a user, follow the steps below:

  • Log in to your business viva.com account

  • Select Settings and Users

  • Find the user you want to delete in the list and select Delete

  • Select YES in the pop up window

The "User deleted" message appearing on the right hand side of the screen confirms the user deletion.

💡 Useful Information!

  • Deleting an employee user is an irreversible action.

  • Employee users of a business account can view account information based on their assigned role, only when accessing their account via a web browser (either on desktop or through a mobile browser).​
    If they log in via the Viva.com App, business account details will not be visible, as this functionality is currently not supported in the app.

  • If the user already has an account with the same credentials or is a user in another account, they will simply see the new user account within their existing account.
