Once your first Volopay account is KYC approved and you get access to our dashboard. We would recommend the following steps:

1. Add people to your Volopay account

Use the Volopay web app to add people from your organization.

To create a user, navigate to the Company tab from the left pane > Go to People > Click on ' + People ' > Key in the details and continue.

2. Activate Physical Card 

  • Go to the Cards tab.

  • Click on Activate Card

  • Enter the Activation number mentioned on the backside of the card & enter the last 4 digits of the card and click on ["Activate Card"].

You can see a notification Popup at the Top as - "Success! Card activated". Also, you can see the "Active" status displayed on your card.

Note: ' Yet to activate' notification in Volopay stands for, ' A card is yet to be attached ' but not a card is already linked to the account.

3. Creating Budgets

Once you log into the account

Click on the "+" button at the top right corner in the Budgets section.

  1. Give a budget name

  2. Select the type of budget - One-time / Recurring budget.

  3. Set monthly recurring limit (if applicable)

  4. Choose an expiration date ( only applicable for a one-time budget)

  5. Select budget owners (at least 1 & can be changed at any time)

  6. Select members of budgets (can be changed at any time)

  7. Click on Save Changes.



    In the Budgets section, click on the add button at the top right corner as shown:


Fill out all the fields as per your requirement and click on ["Save Changes"].

4. Changing the Balance of a person's card

  1. Navigate to the Budgets tab from the left pane

  2. Select and open the desired budget

  3. Navigate to Cards

  4. Hover around the Recurring fund & Balance and click on the pen icon as shown below

  5. Change the values and confirm

5. Create virtual cards

Creating a virtual card

Go to the ["Cards"] tab on the Dashboard, navigate to Virtual cards and click on the add icon as shown:

Once you fill out all of the fields, click on the [ Continue ] button. Verify the details given and click on [ Request card] and it's done!

Types:

  1. None - These are tied to the available funds in a budget and expire in 7 days unless you specify a closing date. They are often used as a one-time payment card.

  2. Monthly - These cards reset on the 1st of every month with the amount that is set as a limit when created. They are mainly used for the payment of fixed monthly charges of any service/software like - HubSpot, Mandrill, AWS, etc.

6. Adding funds 

You will need to add funds into your account before you can actually fund your cards or do any expenses. Learn more.
