Qualification Upload Tool

This article outlines how to use the qualification upload tool.

The Qualification Upload Tool makes it easy to mass upload or update your volunteer qualifications. Whether you’re adding new records or keeping your existing ones up to date, the tool helps you stay organised and compliant.

With this tool, you can:

  • Mass upload new qualifications – add multiple qualifications at once, saving time and reducing manual entry.

  • Mass update existing qualifications – quickly refresh existing records (such as updated certificates or renewing DBS/PVG).

Go to manage.volunteero.org, go to your volunteer dashboard and click on training history

Click on the upload button - this field will appear:

You can download the template here and add in all your data. You can update existing records or upload new records.

Uploads can't be undone, so take extra care to make sure all the data is correct.
When updating existing records, the oldest issued qualification will be updated.

When preparing the data in the sheet the following fields are required:

  • Email (Volunteer has to be on Volunteero with this email address)

  • Qualification name (This can be either the Qualification Name or ID, needs to exist on volunteero pre-migration)

Please note that the spelling needs to be the exact same as on Volunteero. Please check for additional spaces, the uploader will reject the entries with wrong email addresses and qualification name/ID.

Additional things you can add:

  • You can add issue dates and expiry dates to the qualifications, please do this in the following format yyyy-mm-dd.

  • You can add notes to the qualification with further explanation or potential reference numbers if needed.

Then the most important do you want this to be a duplicate (a new entry) or do you want to update an existing record. Please note that when updating existing records, the oldest issued qualification will be updated.

  • For Duplicate add True

  • For Update add False

If left empty this column defaults to False - Update

After you have finished your data, please upload it to the uploader tool and click review.

VERY IMPORTANT: Please make sure you keep the template row on top of your data sheet so the uploader can recognise the specific columns. Please double, triple check every column you added in the sheet is also now added to the uploader tool. If this is not the case there is an issue with your data sheet.

The tool might give you some rows with issues. In the example below, the qualification does not exist. In this case please go back to your sheet and edit the name or go to Volunteero and add the right qualification.

After you have fixed all issues please click start upload. Please bare in mind, uploads can't be undone, so take extra care to make sure all the data is correct.

Top tip: If you’re uploading or updating a lot of qualifications at once, try uploading just one test row first. That way you can check everything looks right before doing the full upload with confidence.
