Group leaders: managing shifts and volunteers in the app

If your organisation has made you a group leader on a mission, here's what you can do in the app and how to do it.

Written by Ash

Congratulations, you're a group leader! Your organisation has asked you to help run one or more of its missions, and this guide shows you everything you can do in the Volunteero app.

As a group leader, you can:

  • See the shifts you manage in one place

  • Manage who's on each shift: add or remove volunteers, approve requests to join and confirm invitations on a volunteer's behalf

  • Check volunteers in and out when they arrive and leave

  • View volunteer profiles, including phone numbers, email addresses and emergency contacts

Feel free to jump to the relevant sections:

What is a group leader?

A group leader is a volunteer who has been given extra options to help run a mission, such as organising who's on each shift and checking people in on the day.

Your organisation decides:

  • Which missions you lead. You might be a group leader on one mission and a regular volunteer on another.

  • What you can do. Your organisation chooses which options your role includes, so you may not see everything in this guide.

  • Which volunteers and shifts your role covers. This might be the whole mission, or just some of its volunteers and shifts.

Everywhere else, the app works just as it always has. You can still join shifts and volunteer as normal.

How you'll know you're a group leader

When you open the mission in the app, you'll see a 'You help run this mission' banner at the top. This is your sign that you'll see extra options on the volunteers and shifts your role covers.

See what your role lets you do

  1. Open the app and go to 'Missions'

  2. Tap the mission you help run

  3. Tap the 'You help run this mission' banner

You'll see 'Your role on this mission', which lists the extra things your role lets you do. Yours might look a little different to the screenshot below, this is configured by your organisation.

From here, tap 'See shifts you manage' to jump straight to your shifts.

See the shifts you manage

  1. Open the mission and tap 'Shifts' at the bottom of the screen, or tap 'See shifts you manage' from your role summary

  2. Tap the 'Shifts you manage' filter at the top to show only your shifts

Each shift you manage is marked 'You manage'. You'll also see how many volunteers are booked compared with how many are needed, for example 0/5.

Add volunteers to a shift

  1. Tap the shift you'd like to add volunteers to

  2. Tap the 'Volunteers' tab

  3. Here you can see any volunteers who may have already joined the shift, or it may be empty

  4. Click the add volunteers button in the top righthand corner

  5. Tick the volunteers you'd like to add. You can use the search bar to find someone quickly.

  6. If you'd like them on every future shift in the same series, tick 'Add to all future shifts in this series'

  7. Tap 'Add volunteer' to confirm

If someone you add isn't on the mission yet, they'll join the mission too. The app will let you know before you confirm.

If a shift needs approval, you can also approve volunteers' requests to join and confirm invitations on a volunteer's behalf.

Remove a volunteer from a shift

  1. Tap the shift

  2. Tap the volunteer you'd like to remove

  3. Tap 'Remove from shift'

Good to know: it's always worth letting a volunteer know before you remove them from a shift, so they're not caught out.

Check volunteers in and out

If your organisation uses check-in and check-out on this mission, you can record when volunteers arrive and leave.

  1. Tap the shift. You'll see each volunteer marked 'Checked in' or 'Not checked in'.

  2. Tap the volunteer

  3. Tap 'Check in' when they arrive, or 'Check out' when they leave

If it's too early, the 'Check in' option will show when check-in opens, for example 'Check-in opens tomorrow'.

Checked someone in or out by mistake? No problem. Tap the volunteer again and you can undo it.

View volunteer profiles

You can see the contact details of the volunteers your role covers, which is handy if you need to get in touch about a shift.

  1. Tap a volunteer on the mission or on a shift

  2. Tap 'View profile'

You'll see their phone number, email address and emergency contacts.

Please look after this information: only use volunteers' details for your volunteering, and don't share them with anyone else. If you're unsure, check with your organisation.

Why can't I see some volunteers?

Your role may only cover some of a mission's volunteers and shifts. If so, you'll see one of these messages:

  • 'Some volunteers aren't shown': volunteers your role doesn't cover are hidden from you.

  • 'Your role covers some of these volunteers': volunteers your role doesn't cover are faded out. Tap a volunteer to see what your role lets you do for them.

This is set up by your organisation. If you think you should be able to see someone, please get in touch with them.

If you have a query relating to accessing or using the app, please email our support team at support@volunteero.org, and one of our friendly team members will be happy to help.

If your query is about your group leader role, such as which missions or volunteers you look after, we recommend reaching out directly to your organisation.
