Submitting a report and/or an expense

You have done some volunteering, it is now time to submit a report!

So you have completed your volunteering, what next? After your mission or after each shift, your charity would love to hear from you, they may ask you to:

  • Log your volunteering hours

  • Submit an expense claim

  • Report an issue or raise an action

  • Complete your mission – Confirm that your assigned tasks are finished.

  • Share any other key metrics

Essentially you use the report feature to communicate with your charity with any information relevant to that mission or shift. Your organisation decides the questions they want you to answer, they might want you to submit volunteering time, any issues and any feedback in text form. Any queries about the questions asked in your reporting section please contact the charity you're volunteering with.

Please note that to submit an expense claim, you must submit a report.

How to submit a report

To submit a report, open the app, open the mission you wish to submit a report for which should be in your Ongoing missions list. If it is not here, either you are not approved or have been removed from the mission, we recommend contacting your organisation in this case.

Once in the mission, you should see a big "Report" button at the bottom, please press this

This page allows you to submit your volunteer report. Each report is tailored by the charity to capture the information they need. Completing a report after your volunteering is really important, it’s where you demonstrate the impact of your time and effort. Your insights help the organisation understand how your contribution makes a difference, highlight any potential safeguarding concerns, and showcase the total hours you’ve contributed. This information is invaluable for the charity, helping them improve their programs and support future funding applications.

Submitting an expense

Your organisation will decide whether they will allow for receipt to be uploaded for that particular mission or shift. If it is enabled it will show up as a toggle button in your report.

  • Firstly, ensure when you submit the report you select the "Would you like to add receipts?" option.

  • Submit the report

  • The following page will now show up

Add a Photo
Upload any supporting evidence, such as receipts, bus tickets, or other relevant documents.

Receipt Date
Enter the date shown on your receipt or evidence.

Amount to Claim
Specify the amount you are claiming. You can also select the currency here.

Mileage
If mileage does not apply, please enter 0.

Comments
Provide any additional details or justification for your claim. This helps your charity process your submission more efficiently.

And again make sure to hit submit.

Adding additional photos to your expense

Do you need to add additional photos to your expense? here is how to do this:

  • Go to your report, on the mission or on the report tab on your profile.

  • Select the Report and you can then add an additional receipt, by clicking on Add Receipt.
