Welcome to the WhatsApp Bot Builder guide! In this article, we’ll explore how to navigate the platform, its key features, and a breakdown of the settings that will help you optimize your bot and automate your business communication effectively.

1. Getting Started with the User Interface

The WhatsApp Bot Builder offers a user-friendly interface that is simple to navigate. The left-hand menu provides access to all the core sections you’ll need. Here’s a quick tour of the main features:

Contacts Section: Managing Your Audience

The Contacts section works like a CRM, where you can view and manage every customer who has interacted with your bot. Each contact has a user card, which stores relevant information such as:

  • Tags

  • Custom fields (e.g., interests, location)

  • The date they joined your audience

You can also bulk import contacts by uploading spreadsheets with their details, making it ideal for businesses that need to communicate with large groups of people quickly and efficiently.

Campaigns: Driving Engagement

The Campaigns section allows you to create links or QR codes that direct users to WhatsApp with a pre-filled message. This is an excellent tool for launching promotional campaigns or driving customer engagement. Once a user sends the pre-filled message, the bot automatically starts the conversation flow, making it easy to handle marketing campaigns or customer inquiries.

Broadcasts: Reaching Many at Once

With Broadcasts, you can send messages to multiple contacts simultaneously. You can schedule broadcasts for future dates, adjust the time intervals between messages, and even set delays to avoid spamming your customers. This feature allows you to schedule an entire month’s worth of communication in advance, making it a powerful tool for managing customer outreach.

Chats: Real-Time Support

The Live Chat section is where you handle real-time interactions with your customers. It operates like a traditional chat desk, but with added features like:

  • Assigning conversations to specific team members

  • Marking conversations as "open" or "completed"

This feature ensures that no customer query is missed and your team stays organized.

Automation: Streamlining Your Processes

In the Automation section, you can set up automated keyword triggers to respond to specific customer inquiries or requests. This minimizes the need for manual responses and speeds up customer interactions.

Additionally, the Sequences feature allows you to automate a series of messages over time, which is particularly useful for drip marketing campaigns, onboarding processes, or multi-step user journeys (e.g., workout plans).

Flow Builder: Customizing Interactions

The Conversation Flow builder lets you create automated conversations that guide users through different options, such as Request a Quote, Daily Promotions, or Talk to a Representative. The visual layout makes it easy to design and connect different parts of the conversation.

Moreover, the builder allows you to reuse information—for example, if you’ve already collected a customer’s name, you won’t have to ask for it again later. You can also set up conditions that determine the flow based on customer inputs.

Settings Menu

The Settings section is where you can configure the various aspects of the WhatsApp Bot Builder to fit your business needs. Let’s go through each option:

Connection

  • Here, you’ll manage the connection settings to ensure that your bot is properly linked to WhatsApp and any external systems you're using. A stable connection is essential for the bot to function effectively.

User Fields

  • Custom fields for users allow you to collect and store specific information about your contacts. For example, you can add fields to track details such as location, preferred products, or communication preferences.

Bot Fields

  • Bot fields help your bot store information that can be used later in conversations. This can include temporary data that the bot collects during an interaction, which can be referenced across different flows.

Tags

  • Organize your contacts by applying tags. These tags can be used to segment your audience, making it easier to send targeted messages or filter contacts based on specific criteria, like campaign participation or customer behavior.

Fast Replies

  • This feature allows you to set up a library of pre-written replies that your team can use during live chat sessions. Fast replies help save time, maintain consistency, and ensure that your responses are always professional.

Team Members

  • In this section, you can add new team members to the platform and assign them different roles. For instance, you may want to assign an administrator who has full control over the bot or an agent who will manage customer conversations.

Office Hours

  • Define your office hours to let customers know when they can expect a response. Outside of these hours, the bot can be set to send automated messages informing users when live chat support will be available again.

Default Flows

  • Set up default flows that will automatically handle certain types of interactions. This is useful for frequently asked questions or standard processes like account setup, ensuring consistency in responses.

Account

  • Manage your account settings, including personal information, billing details, and subscription plans for the WhatsApp Bot Builder platform.

Logs

  • The logs section allows you to track system activity and review past interactions. This is essential for troubleshooting any issues that arise or reviewing how customers are using the bot.

Integrations

  • This is where you’ll configure external tools like Razorpay for payments or Shopify for managing orders. Integrating these platforms into WhatsApp Bot Builder enhances the capabilities of the bot and streamlines your operations.
