In this video, you will learn how to notify team members through flows in Wabb
When a user needs help during a conversation with your bot, it's important to notify the right team members as soon as possible. WhatsApp Bot Builder (WABB) allows you to automate this by setting up notifications using the Action Block. This guide explains how to configure notifications step by step.
1. Design Your Flow and Decide When to Send a Notification
Start by designing your conversation flow and identifying the point where a team member should be notified. This can happen when:
A user clicks a button like “Talk to a human”
A user replies to a question that suggests they need support
Any other key moment in the flow where escalation is needed
Once identified, this point should be connected to an Action Block that handles the notification setup.
2. Add an Action Block
After deciding the trigger point, insert an Action Block into your flow to send the notification.
Configure the Action Block:
Open the Action Block settings.
Select the action type: Notify Team Member.
3. Write the Notification Message
Craft a message that clearly informs your team about the user's request.
Example Message:
“We have a new person in need of assistance. Their case is marked as open. Please check the chat.”
Add Dynamic Variables:
Click the
{}
icon in the message editor to insert variables such as:{full_name}
{company name}
{phone}
These variables help personalize the message and provide useful context to the team.
4. Select Notification Method
You can send notifications using WhatsApp, email, or both.
Notify via WhatsApp:
Message is sent to the team member’s WhatsApp number.
Recipient number: The number the team member used to log in.
Sender number: The number connected to your WABB WhatsApp setup.
Example WhatsApp Notification:
Notify via Email:
Message is sent to the email address associated with the team member’s WABB account.
Emails are sent from no-reply@wabb.in.
You can add an optional Email Header, such as:
“New Enquiry on WABB”
“Callback Request”
“New Order Received”
Example Email Notification:
Notify via One or Both:
You may choose to send notifications via WhatsApp only, email only, or both, depending on urgency and preference.
5. Choose Notification Recipients
Decide which team members should receive the notification.
Recipient Options:
All Members (default)
Specific Team Members: Click the dropdown menu and select one or more individuals.
6. Check Team Member Setup
Before notifications can be delivered, make sure all team members are correctly set up.
Requirements:
Team members must be added to your WABB account. (If not added, check here)
Their WhatsApp number and email address should be correctly filled in their profile.
If needed, go to Profile Settings to edit or update their contact information.
7. Use Variables for More Detailed Notifications
To make the messages more informative:
Click the
{}
button in the message editor.Insert relevant user fields or custom variables.
This helps your team assign or handle the user case more efficiently.
