GoHighLevel offers multiple calendar types to help businesses manage scheduling efficiently. If you haven’t set up a personal one-on-one calendar yet, check out our basic calendar setup guide before diving into this article.

In this guide, we’ll explore:
Round Robin Calendars – Distribute appointments among multiple team members.
Class Bookings – One host, multiple attendees.
Collective Bookings – Multiple hosts required for a meeting.
Events & Service Bookings – (Covered in separate articles).


1. Round Robin Calendars

Best for: Sales teams, service providers with multiple staff, appointment-based businesses (e.g., spas, consultations).

How It Works:

  • Clients book an appointment, and the system assigns them to an available team member.

  • You can set priority levels for staff (high, medium, low).

  • Assign specific meeting locations per team member (e.g., Zoom, Google Meet).

  • Optimize for:

    • Availability (default) – The system books whoever is free.

    • Equal distribution – Ensures fair lead distribution.

Setup Steps:

  1. Go to Settings > Calendars > Create Calendar.

  2. Choose Round Robin as the calendar type.

  3. Assign multiple team members and set their priority.

  4. Customize scheduling preferences.

  5. Save and share your calendar link.


2. Class Booking Calendars

Best for: Tutors, coaches, fitness instructors, onboarding sessions, group meetings.

How It Works:

  • One host, multiple attendees.

  • Set a maximum number of participants per session.

  • Clients book themselves into available slots.

Setup Steps:

  1. Create a Class Booking calendar.

  2. Set availability and define the number of seats per class.

  3. Configure notification and reminder settings.

  4. Share the booking link with clients.


3. Collective Booking Calendars

Best for: Panel meetings, executive team calls, internal business meetings.

How It Works:

  • Multiple hosts must be available for a booking to be scheduled.

  • Used for meetings that require all participants to be present at the same time.

Setup Steps:

  1. Select Collective Booking when creating a new calendar.

  2. Add multiple hosts who must be available.

  3. Set availability and location preferences.

  4. Share the booking link.
