Why Your GoHighLevel Settings Matter
Your Settings section is where you configure all the critical details that keep your business running smoothly in GoHighLevel. This is where you:
Set up business information and compliance settings.
Manage team members and define roles.
Customize phone, voicemail, and call handling features.
Control opportunity and pipeline ownership settings.
Since there’s a lot to cover, this is Part 1 of a three-part series. In this guide, we’ll focus on business settings and user management to help you get started.
Navigating to Settings
To access the Settings section:
Log in to GoHighLevel.
Look at the bottom left corner of the screen.
Click on Settings to enter the dashboard.
The Settings menu is broken into different sections. In Part 1, we’ll cover the Business Profile, Call & Voicemail Settings, Billing, Team Management, and Pipeline Ownership Settings.
Step 1: Business Profile & Compliance Settings
The Business Profile section contains essential information like:
Business Name & Address
EIN (for verification & compliance)
Authorized Representative
Industry & Business Type
Key Compliance & System Settings
Under the General Settings tab, you’ll find important toggles to manage your account efficiently.
Recommended Settings to Turn ON:
✅ Mark Emails as Invalid Due to Hard Bounce – Ensures you don’t keep emailing bad addresses, saving money and improving email deliverability.
✅ Merge Facebook Contacts by Name – Prevents duplicate contacts from Facebook lead forms.
✅ Contact Time Zone Integrity – Ensures automated messages are sent at the correct time based on a contact’s location.
✅ Verify Email Addresses on First Email Sent – Checks if an email is valid before sending, reducing bounce rates.
✅ Enable Compliance Footers (SMS & Email) – Automatically adds unsubscribe links to emails and SMS messages, helping with A2P 10DLC compliance.

Step 2: Call & Voicemail Settings
If your business handles phone calls through GoHighLevel, you can configure:
Voicemail Recording – Upload a file for missed calls.
Missed Call Text-Back – Automatically sends a text when a call is missed.
Call Routing & Handling – Set response times and duplicate contact rules.
Enable Missed Call Text-Back (Highly Recommended)
This feature automatically replies to missed calls via SMS, increasing response rates.
📌 Example Auto-Reply:
"Hi [Contact Name], we just missed your call! How can we help?"
✅ Why use it?
Improves speed-to-lead response time.
Captures potential customers who don’t leave voicemails.
Increases engagement without needing more staff.
Step 3: Billing & Subscription Management
The Billing section allows you to view and manage:
Your GoHighLevel subscription (direct or through an agency).
Usage-based charges for SMS, emails, and phone calls.
Payment methods & invoices for tracking expenses.
Who Needs to Check This?
If you signed up through an agency, they handle billing.
If you have a direct GoHighLevel account, you can manage payments & usage here.
Step 4: Managing Team Members & User Permissions
If you have a team, you need to control who has access to what inside GoHighLevel.
Adding & Managing Staff
Go to Settings → My Staff.
Click Add Employee and enter their name, email, and role.
Assign a default calendar (if applicable).
Configure Roles & Permissions to control access.
Roles & Permissions Breakdown
Admin: Full access to everything.
User: Limited access (e.g., only to contacts, calendars, or conversations).
Custom Role: You define exactly what they can see and do.
💡 Examples of Custom Roles:
Sales Rep: Access only to Opportunities & Conversations.
VA (Virtual Assistant): Access only to Automations.
Blog Writer: Access only to Blogs.
🔹 Pro Tip: If you don’t want a team member to see contacts or sales data, customize their permissions before sending an invite.
Step 5: Opportunity & Pipeline Ownership Settings
This section determines who "owns" leads and sales opportunities inside GoHighLevel.
Key Settings:
Allow Different Owners for Contacts & Opportunities
Example: A sales rep owns a lead, but an account manager owns the client’s profile.
Enable Follower System
Example: A manager follows a salesperson’s deals without taking ownership.
Restrict Access to Assigned Deals Only
Example: A rep can only see their assigned leads, not the full database.

Businesses using account managers, sales teams, or client service reps.
