Enabling the advance payment option

  1. You can enable the online payment option by:
    a. Tapping Payment methods in your profile menu, and then selecting Enable online payments
    b. Tapping Payout methods in your profile menu, and then tapping Enable online payments

    c. When booking an appointment (at the end of booking process) - selecting By Card and then Enable online booking.

  2. Stripe system may not immediately confirm the payments. You may need to provide your ID information first.

  3. Once Stripe confirms the payments, you'll receive a message and your clients will be able to pay for your services either in advance (when booking an appointment), or after the appointment (you can generate a QR payment code for your client which leads them to an online checkout).

  4. Advance payments can be disabled by going to your profile menu, tapping Payment methods, then Online payments and Disable.

  5. You can change your payment settings so that your clients can pay in advance only. In your profile menu, tap Payment methods, then On the Spot, and Disable. You can only do that if you've already enabled online payments.

    This way, your clients will have to pay for your services in advance - while booking an appointment. If it happens that you end up giving the client extra service or if you simply decide to charge extra, the client can pay this money in a way that you both agree on.

  6. If you have On the Spot payment option disabled and Advance payments enabled, but want to disable it too, then On the Spot option will be enabled automatically. You cannot disable both of these options.

    Completing the appointment

  1. After an appointment, you'll see a new entry in the Checkout section.

    a. If the booking was paid in advance, it will be marked as Paid.
    b. If the client didn't pay in advance, the appointment status will remain unchanged.

  2. When you tap the finished appointment to change its status, you'll see a popup window where you have to select Checkout or declare a no-show.
    a. When you select Checkout, you can enter or change the total booking value.

    i. If the booking was paid for in advance, you'll see the value paid by client prior to their appointment. If you provided a different service than the one initially booked by the client, you can modify the final price. If the client has to pay extra, you'll be able to enter a new service price in a new window. NOTE: You cannot enter a lower value than the original value paid by the client in advance.

    b. The client can pay using one of the four following methods:

    i. Cash - after you complete the appointment, you'll see a success screen and choose if you want to provide the client with the receipt.

    ii. By card - tap this option and the app will generate a unique QR code with a link to Stripe payment system. The client can then scan the code, go to the payment link, enter their credit card data, and pay for the service. You'll shortly see the money in your app's balance section and can then choose whether to send the client a receipt.
    1. If the client had paid for the service in advance but still has to pay extra, you can generate the QR payment code with a link to Stripe system. The client then has to pay the remaining amount (for example, they initially booked a service for 20 EUR but you ended up giving them a treatment that costs 25 EUR. The app will then generate a QR code for the remaining 5 EUR)

    iii. Bank transfer (the client transfers the money to your personal bank account) - after selecting this option, you'll complete the booking and will see a popup window asking whether you want to send the client a receipt.

    iv. Other - tap to complete the appointment and choose whether to send your client the receipt.

  3. If you mark the appointment as a no-show, the booking is then completed by declaring the appointment failed due to a client's no-show.


Paying out the advance payments

  1. All money collected through the Stripe system (all advance payments or payments received through QR codes) appears in your virtual Stripe wallet. After you mark the appointment as complete, you'll see the payment appear in your Payouts within a few minutes. NOTE: Watalook automatically charges a 3% commission fee off each advance payment via Stripe (plus VAT).

  2. To receive payouts, you need to add your bank account. Go to the Payouts section, then Add a payout method. You can change your bank account number at any time.

  3. The payouts are made automatically on the 1st and 16th day of each month (for the previous month). On these days, all your earning will be automatically transferred to your bank account.

  4. You can also withdraw your money on your own (if you don't want to wait for the 1st or 16th day of the month). Just tap Pay now and the money will be immediately transferred to you. NOTE: you can only initiate these payments if you have no less than 100 EUR in your Payouts balance.

  5. After you've withdrawn money, you'll receive an email with a receipt.

  6. In your Payouts section, you can see the history of all your payouts and their detailed information (when tapped on).
