How to Request Documents from Clients Using the Vault Document Checklist

Storing and organizing documents in your Vault is one thing, keeping track of what documents you still need from your client is another. That's where Document Checklists come in. In your Vault, you can create a document checklist to track outstanding items you need to collect from your client.

How to Create a Document Checklist

  1. In your Vault, select Document Checklist.

  2. Click Add Checklist.

  3. Choose from any of the document categories to start selecting the documents to add to this checklist. You can choose from categories including:

    1. Estate Planning - Trusts: Trust documents like Joint Revocable Trusts (JRTs), Charitable Lead Annuity Trusts (CLATs), Grantor Retained Annuity Trusts (GRATs) and more

    2. Estate Planning - Other: Supporting estate planning documents like Advance Health Care Directives (AHCDs), Financial Powers of Attorney (FPOAs), LLCs/Operating Agreements, Letters of Intent, and more

    3. Work & Business: Employee Benefits, NDAs, Partnerships/LLCs, and more

    4. Assets: Investments, Real Estate Leases & Deeds, Safe Deposit Boxes, and more

  4. Once you've selected all your documents, you can also edit the names of these documents if needed. For example, if your client has multiple CLATs, you can label them individually for easy organization. Select Add to Checklist to finalize.

  5. You will now see each of these documents populate as individual rows in your Vault with the status Awaiting Upload. You can refer to your checklist at any time by selecting the Document Checklist button.

How to Upload a Document on Your Checklist

  1. Select the line item in your Vault, which will have the status Awaiting Upload

  2. Follow the instructions to upload the document

  3. After your document is uploaded, a table will appear at the top of your Vault noting the progress of your checklist has been updated. You can also check this progress by selecting the Document Checklist button.

  4. After uploading, Ester will automatically start reviewing your document. When ready, the Ester icon in the AI column will turn purple.
