How to Initiate a Deed Request
As an advisor, you can start a deed order by following these steps within the client’s profile:
Navigate to the Client Profile: Select the specific client from your dashboard.
Access the Deed Service: There are two ways to navigate to the service:
Via the Overview section or the Vault section in the client profile
Click the three dots next to the client's document (please note that the document must be "Ready to Sign to initiate this). Select Validation Services, then Deed Preparation from the dropdown.
Submit Property Details: Confirm the property information. Our "Seamless Integration" will pull existing data from the client’s Vault and Estate Analysis when available.
Enable Communications: Check the box to be included in communications if you wish to be CC'ed on updates from the law firm.
Track Progress: Once submitted, monitor the request via the Order History tab for status updates such as In Progress, Sent for Signature, or Recorded.

Can the client still start their own deed request?
Yes. While this feature empowers advisors, clients still have the ability to initiate deed preparation from their own portal. The Order History will clearly label who started the request.

To keep you in the loop, your client can CC you on their request by checking the box 'I would like my advisor to be included in communications for this order.' This option is located at the Contact and Payments stage within the client portal.
What information is shared with the deed provider?
The system securely transmits the trust details, property address, and existing deed information (if uploaded to the Vault) to ensure the new deed is drafted correctly.
With advisor-led deed prep, can advisors pay the deed prep fee on behalf of their clients within the system?
Yes, If the advisor places the order for the client from their Advisor Dashboard, they can pay for the service for the client.
How do I stay updated on the legal firm’s progress? Ensure you select the "CC" option during the initiation phase. This ensures all relevant correspondence from the firm preparing the deed is sent to your inbox as well.
