How to Delete Documents from the Vault

This guide explains how to manage and remove documents uploaded to the Vault to keep your clients documents organized.

How Your Client Deletes a Document

If a client needs to remove a file they previously uploaded, walk them through these steps:

  1. Navigate to the Vault: Direct the client to click Vault in their top navigation bar.

  2. Open the Category: Have them select the relevant folder (e.g., Financials or Estate Planning).

  3. Preview the File: They must click on the specific document name to open the document viewer/preview.

  4. Access Settings: Click the three dots (⋮) icon in the top-right corner of the viewer.

  5. Confirm Deletion: Select Delete and confirm.

These steps for your client are the same steps for advisors to take to delete documents from the Vault on their side as well.

Action is Permanent: Once a document is deleted, it cannot be recovered.

The delete function is only available for files that were manually uploaded by either you (the advisor) or the client.

What Cannot Be Deleted?

To protect the integrity of the estate plan, the platform has built-in restrictions that you should communicate to your clients. Clients cannot delete documents created through the Wealth.com workflow (e.g., a Trust or Will generated on the site). These are locked to prevent accidental loss of essential legal records.

Advisor Best Practices

  • Audit Regularly: During annual reviews, encourage clients to prune old "User-Uploaded" versions of deeds or older healthcare directives that have been replaced by Wealth.com-generated documents.

  • Permissions Note: Remember that as an advisor, you can also upload documents for your client. If you upload a file, the client has the power to delete it from their view if they choose.

  • Verify Before Deleting: Because deletion is permanent, always suggest the client download a local copy of a document before removing it from the Vault if there is any doubt about its future relevance.
