How to combine duplicate person, trust, or entity cards under People & Entities into a single record.

How to merge duplicate contact cards

If the same person, trust, or entity appears more than once under People & Entities, you can merge the duplicates into a single card. This is common when you create client profiles through an integration (like eMoney or Black Diamond) and also run documents through Ester for analysis.

Merging works the same whether a contact was created manually, through an integration, or by Ester. Source badges just help you tell the cards apart.

Before you start

Merging can't be undone. Details from the duplicate card are not carried over — only the information on the card you set as primary is kept. So before you confirm, make sure the primary card has the details you want.


Steps to Combine Duplicate Cards:

  1. On the People & Entities tab, find one of the duplicate contacts.

  2. Open the actions menu () for that row and select Merge Contact. The Merge Contacts window opens with that contact on the left.

  3. On the right, select Select Contact, then choose the duplicate you want to merge with.

  4. Review both cards side by side, using the tabs to compare details.

  5. On the card whose information you want to keep, select Set as primary contact. We recommend choosing the card with the most complete and accurate information, since details from the other card won't transfer.

    • If one of the cards is already the client’s primary household contact, it is locked as primary and labeled Primary Contact. You can’t switch it.

  6. Select Continue.

  7. In the Confirm Merge dialog, review the warning, then select Confirm.

The People & Entities list refreshes with a single combined contact.


What happens when you merge

  • Details are kept: Only the primary card's information becomes the record. The other card is removed and none of its details transfer.

  • Source (Manual / Integration / Ester): Doesn't affect the merge. You can merge any combination of sources.

  • Household primary contact: If either card is the client's primary household contact, that card must be the merge primary.

  • Same type only: You can only merge cards of the same type — a person with a person, an Individual Revocable Trust with another Individual Revocable Trust — because the fields need to match.

  • Merge can't be undone: Double-check the primary card before confirming.


Troubleshooting

  • I don’t see the Merge Contact option: It may not be available for your organization or plan. Contact your Wealth.com administrator or support@wealth.com if you can't find the Merge option.

  • Continue is disabled: You might still need to choose a second contact under Select Contact.

  • I picked the wrong primary: Select Go Back on the confirmation dialog before confirming, then reset Set as primary contact. Once you confirm, the merge can't be undone — you'll need to edit the merged card or recreate missing details.

  • The merge failed: You'll see an error (or "Failed to merge. Please retry."). Close it and try again. If it keeps failing, contact support and note which two contacts you were merging.
