What is Cell Phone Text Forwarding and How Do I Set This Up?

Cell Phone Text Forwarding allows you to forward new leads, prospect replies and personal email to email addresses outside of Web Control. 

Once the forward is received to your outside address, merely replying back to that email from your outside address will send the response back through Web Control, leaving a Pager Response note in the prospect record and deliver the email to the prospect from your Web Control email address.

Note:  Not all OEM's will accept Cell Phone Text Forwarding replies as a clock stopping response on corporate leads.   Please refer to your OEM's guidelines if these responses will indeed stop the clock on your corporate leads. 

Saving Cell Phone Text Forwarding Addresses

Standard users have the ability to change and add their own Cell Phone Text Forwarding addresses. 

Manager users have the ability to add, delete and change Cell Phone Text Forwarding addresses for themselves or any user.

The steps for creating and editing Cell Phone Text Forwarding information vary based on the type of user you are.

Standard User

  1. Click the Settings link.

  2. From the User Settings section, click Cell Phone Text Forwarding.

  3. Add or modify the information as needed.

  • Email Address - the outside address to where you want your leads and emails forwarded.  This can be to an actual email address or to a texting address.  If the forwards are going to a texting address, the address will need to be in the format of 10digitphonenumber@textingcarrier.com.  Please refer to your mobile carrier for the texting address for your phone.

  • Email types to forward - what types of emails you want forwarded.  (Multiple criteria can be selected)New Prospects - new leads received.Existing Prospects with New Emails - email replies from prospects and any additional leads submitted by the prospect.Personal Emails - emails that go to your Personal Inbox within Web Control.

  • Content type - the format in which you want the forwards delivered to your outside address.Plain Text - non-formatted text.  This is preferable if the emails are being sent to text email addresses.XML - formatted text.  This is preferable to send to HTML-enabled email addresses and other CRM's.Formatted - for special leads sent in formats other than XML (i.e., Star Format).  This is preferable if OEM leads need forwarded to other CRM's.

  • Limit # of characters in message - if the listed email address is that of a texting address, a limit can be put in place (e.g., 150 characters), to limit the forwards to just one text.

  • Hours and days to forward email - Select All would check all days and times to forward at all times.  Selecting specific times and days from the boxes allows you to select when you do or do not want the forwarding to occur.

5. Click Save.

Once an address is saved, the address will be listed in the Forwarding Emails Addresses list to the top of the Cell Phone Text Forwarding set up screen.

Users can add multiple address as desired following the above steps.

Manager User

  1. Click the Settings link.

  2. From the User Settings section, click Cell Phone Text Forwarding.

  3. From the Select a user list, select a user for whom the address should be set.                     

4. Follow the steps listed above for Standard User set up.

Responding to Leads and Emails with Cell Phone Text Forwarding

With a Cell Phone Text Forwarding address saved, leads and emails will forward to your outside address with a prospect-specific email address (e.g., cust-123456789@pgr.dealerspace.com).

Note: The ending designation of the domain will be different in Mazda OEM accounts. For Mazda OEM accounts, the address will be along the lines of cust-123456789@pgr.mazdaleads.com

Replying to the cust address will send the response back into Web Control, leaving a Pager Response note in the Prospect Record.

The prospect will receive an email for your Web Control Email address.

Editing/Deleting Cell Phone Text Forwarding Address Set Ups

Cell Phone Text Forwarding set ups can be edited and deleted at any time.  Standard Users can edit and delete their addresses, Manager Users can edit and delete the addresses set for themselves or any user.

  1. Click on the address to be edited or deleted from the Cell Phone Text Forwarding Set Up screen.

     2. To edit, make the appropriate adjustments to the Schedule, Content Type or                  Email types to forward sections and click Save

   3. To delete an address, click Delete
