Complete the "Sold Vehicle" Form within Web Control

When you move a prospect to a Sold status, or mark a Scheduled Meeting as Sold, the Sold Vehicle form appears for you to complete.  Information from the Prospect Details record automatically displays in some parts of the form to help you complete it more quickly.

Items with a red asterisk (*) are required. 

To complete the Sold Vehicle form:
1. Vehicle. The Vehicle from the Prospect record will reflect in the Vehicle line.  If the prospect purchased something different, you can click change vehicle to edit appropriately.

NOTE: If your dealership has Enhanced Inventory functionality and VOI's have been attached from Inventory Lookup, the Vehicle line will contain the VOI's saved to the Prospect Record.  The menu allows to select the vehicle the Prospect has purchased.

The Stock # and VIN will then appropriately fill from the Inventory information on the vehicle selected.  If no vehicles have been attached as VOI, the vehicle will reflect as the Vehicle (from Lead) area of the prospect record and can be adjusted by clicking Change Vehicle. 

2. From the Source list, verify or select the Prospect's source.  If the Prospect submitted multiple leads, you can specify which lead source provider you want to give credit for the sale.

3.  Vehicle Type.  Allows you to specify if the vehicle purchased is New, Used or Certified.  The default will be what is saved in the Prospect Record as the Vehicle.

NOTE: If your dealership has Enhanced Inventory functionality, and no VOI's have been attached to the Prospect Record, the Type can be adjusted to what is needed to match the Vehicle (from Lead) information.  If VOI's have been attached from Inventory Lookup, the Type will correspond to the selected VOI vehicle the Prospect is purchasing. 

4. Stock #.  Allows you to input the vehicle's stock number.  

NOTE: If your dealership has Enhanced Inventory and no VOI's are attached to the prospect record, inputting the Stock # and clicking Lookup allows Web Control to look for the Inventory information on the vehicle.  If VOI's have been attached to the Prospect record, the Stock # will pre-populate from the selected vehicle. 

5. VIN.  Allows you to input the VIN on the purchased vehicle.  

NOTE: If your dealership has Enhanced Inventory and a VOI has been attached to the Prospect Reord, the VIN will pre-populate from the selected vehicle. 

6. F&I Deal #.  Enter the Deal or Sold ID number from the DMS record.  This field can be left blank if the ID is unknown, you do not have access to the DMS or your dealership does not have Web Control pull DMS data.

7. DMS Customer ID. Input the unique ID assigned to the customer in the DMS.  This field can be left blank if the ID is unknown, the user does not have access to the DMS or your dealership does not have Web Control pull DMS data.

8. Sold Date. Verify, type or select the date the vehicle was sold.

Note: The current date displays by default in the Sold date box. Click the Calendar icon to use a calendar to select a day. 

9. Finance Type.  Select the type of financing the prospect will use to purchase the vehicle - Cash, Lease or Loan.

10.  Months, Monthly Payment, MSRP, Retail Price, Invoice Price and Trade-in Balance.  Optional fields to input financial information on the vehicle sold and the structure of the deal.

11.  In the Future Actions or Pending Automated Email sections, select any item that want to delete.  Click Check All if you want to delete all items.

12. In the Showroom Sales Steps section, select any additional sales steps.  If your dealership does not have the Showroom Sales Management program, then you will not see a section for Showroom Sales Steps.

13. Click Update.
