Understanding the Details of a Prospect Record

Prospect Records provides a summary of prospect information.  It consists of five sections and a several links and lists to complete a variety of actions. 

Prospect

The Prospect section contains contact and personal details about the prospect.  In this section, you can view:

  • Prospect Name

  • Preferred Contact - Best time to contact the prospect

  • Phone Number(s) - Phone numbers do not display if they are marked as Do Not Call.

  • Email address

  • Email Opt-Out - Select the check box to manually unsubscribe the prospect from broadcast and automated email messages.

  • Mailing Address

  • Date Created in Web Control

  • Spouse's name

  • Unique Prospect ID

Dealership

The Dealership section displays the sales representative assigned to the prospect.  In this section, you can view the:

  • Dealership

  • Sales Representative

Important Note:

  • Manager Users can reassign the prospect to another salesperson via the Sales Rep drop down.  Manager User with access to multiple dealerships can reassign the Dealership and Sale Rep via the Dealership and Sales Rep drop downs.

Vehicles

The Vehicles section displays the vehicle the customer is interested in buying and trading-in.  In this section, you can view the:

  • Vehicle of Interest

  • New/Used/Certified (Vehicle Type)  - If the prospect is created from an Internet lead, New displays when the vehicle of interest is a current year model.  If the prospect is unsure and is open to a new or used vehicle, you can select Undecided from the list.

  • Stock # - Part of the information included from inventory or can be manually added.

  • Purchase Window

  • Trade In(s) - View or add information about possible trade-ins

Status

The Status section displays information about the prospect's status, type and source.  In this section, you can view:

  • Status  - View or change the status using the Status list.  Status corresponds to the location of the prospect in the Sales Status folders in the left navigation of the Prospects page.  

  • Type - Displays the Prospect Type, which can be Internet, Walk-in, Phone-up, Owner, Corporate or Other.

  • Source

  • Showroom Status - Displays if your dealership has the Showroom Sales Management module.  Click the check box when the prospect is in the dealership.  A Manager user can mark the prospect out of the Showroom from the Desk Log.

  • Sales Steps - Displays if your dealership has the Showroom Sales Management module and Sales Steps are configured in the Settings section.  Click the check boxes to indicate the Sales Steps completed with the prospect.

History

The History section displays notes about actions that have occurred with the prospect. You can expand the note to see its contents.  History is available for 24 months.
