Edit Office Documents directly in WebCRM!
The new feature in webCRM allows users to edit office documents (Word, Excel, PowerPoint) directly within the platform.
Previously, users had to download documents, edit them, and then upload them back to webCRM. Now, users can simply click on the "Edit in Microsoft Word" option, make their edits, and save the document directly in webCRM.
Edit the document
In order to edit the document, you go to the Documents tab on your organisation, and when clicking on the 3 dots next to the document, you can now choose Edit in Microsoft Word.
The first time you do this, the app will ask you to confirm that you actually want to open Word. You can check Always allow app.wecrm.com to open links of this type in the associated app for it not to pop up every time.
Open your document, make the changes and save again, as you normally would when working in Word.
You will receive a notification when the document is saved in WebCRM as soon as you return to WebCRM.
Document locked
When a user is editing a document, it is locked for other users, who can only view it in read-only mode. You will see a lock on the Edit in Microsoft Word option here:
If a user opens a document for editing, that is already being edited, this notification will be shown in the document, and the second user will be able to edit and save once the first user is done.
Be aware that the link generated when opening a document for edit is valid for 24 hours for security reasons.
Make sure to save your changes within that timeframe, or save the document locally and upload it again.
Document History Log
A log tracks which user edited the document and when. You find the history log by clicking on the 3 dots.
The log will show you which user has edited the document and when they edited, but not the document changes, as WebCRM does not store previous versions of the document.
It is also possible to set up automations based on document edits, such as triggering events when a document is added or edited.
Be aware that this feature only works with the desktop versions of Office. If you don't have these, you cannot use this feature and this warning will pop up.
