Set up default email template

Sending emails to clients is a common task in any business. Having a standard email template can save you time and ensure consistency in your communication. In this tutorial, we'll guide you through the process of setting up a default email template.

Step 1: Create Email Template

If you do not already have email templates built, you can do that by going to Utilities and choose Templates and Email templates.

Give your template a name, and be aware that the merging you choose, is the place you will have access to your email template. So merging with Activities will show you the template when you are working on Activities, etc.

Now you just build your template by dragging the elements you need into the canvas, write the text you want and remember to click Save when you're done.

Step 2: Set up Default Email Template

Once you have built the templates you would like to use, you go to the entity, where you want to set up your default template. If you want to just use it in general, when you send emails, you navigate to Organisations and switch to Contacts. Then an envelope will appear that you can click on:

Now you can select your default template, and you can also add up to 5 favourites, and they will then be placed at the top of your email template list when you send emails.

You can set up default email templates on all the entities where you can see the envelope, like here on Sales Opportunities:

For entities like Activities or Support cases, you have the option of setting default templates for both the contact person and user (Activites) and for the contact person, user and external user (Support cases), as you would probably always send different emails to these.

Step 3: Check Your Default Email

Finally, you can check to see if your default email has been set up correctly by going into a contact's profile and click to send an email, or send an email from an activity. You should see your standard email template appear.
